This is a hybrid position with a mix of in-office and remote work. Work arrangements will be discussed with hiring managers per departmental guidelines.

Your Role

Radio-Canada is searching for a dynamic proactive Departmental Administrative Assistant to join our team and support Digital Media leadership. This vital role contributes to the daily organization and administration of the department ensuring leadership can prioritize effectively.

You will work with confidential and sensitive information relating to policy and regulatory matters organizational restructuring budget constraints financial impacts labour relations and communications.

Key Responsibilities

As a Departmental Administrative Assistant you will provide outstanding organizational administrative and client service support in three key areas:

  • Direct Support to Leadership: Provide personalized support to the departments three senior directors.
  • Departmental Representation: Act as the primary point of contact for the department with stakeholders collaborating with departmental leadership.
  • Portfolio Management: Handle crucial files including:
    • Information management.
    • Event and meeting logistics.
    • Employee onboarding and offboarding.
    • Special projects.
    • Special reports.

As a departmental specialist and a member of the administrative services team you will also be responsible for the following tasks:

  • Actively collaborate with other departmental specialists to develop and continuously improve administrative workflows and processes for the department at large.
  • Manage logistics to maintain a dynamic work environment within the department.
  • Plan develop and maintain departmental information systems records and project files in coordination with other specialists and operations teams.
  • Contribute to continuous improvement of workflows and processes.
  • Plan and monitor onboarding processes for new employees and assess departmental training needs.
  • Organize and arrange meetings conferences and staff functions.
  • Prepare written and visual material agendas and minutes as required.
  • Coordinate annual leave scheduling and reporting for departmental leadership.
  • Collaborate with the administrative team for communications to leadership teams.

Required Qualifications

  • College diploma in business administration secretarial studies or an equivalent combination of education and experience.
  • Significant experience performing administrative duties in a digital environment.
  • Ability and willingness to be the go-to resource and point of contact for your group.
  • Ability to assist others and ease their workloads.
  • Bilingualism (English/French spoken and written).
  • Excellent interpersonal and communication skills oral and written.
  • Highly adept at handling multiple concurrent projects and a substantial volume of work.
  • Tact diplomacy and ability to maintain high levels of discretion and confidentiality essential.
  • Self-motivated autonomous self-sufficient dynamic proactive and organized.
  • Knowledge of CBC/Radio-Canada or a similar organizations policies an asset.
  • Ability to work with internal communication interfaces and apps including but not limited to Google iO Livelink Trello Slack Jira and Confluence.
