Position Summary
The role of the Prospective Student Representative is to engage all domestic prospective student inquiries by phone walk-in email or any other media source about the benefits of a Bow Valley College education. The primary responsibility is to provide advice and information to ensure that students are making informed decisions about their career and program pathways. Additionally they are responsible for assisting with recruitment events to enhance the exposure of the Welcome Centre such as Open House Preview Night Transfer Credit Fair and other events as appropriate.
Position responsibilities and accountabilities include but are not limited to:
Advising Prospective Student Inquiries
- Responsible for advising and assisting domestic prospective students and current students looking to apply to a program by advising on program and admission information admissions procedures general funding options fee information and student service information. This includes advising on all post-secondary and foundational programming and including but not limited to specialized programs such as: Dual Credit Open Studies and Extended Education.
- Knowledgeable in all College programs and is expected to clearly communicate program information and procedures to a diverse and multicultural student population to ensure mutual understanding.
- Responsible for providing exceptional customer service support to both students and employees in-person over the phone and digitally through email chat and social media.
- Utilizes website Viewbook and other marketing collateral to help explain the benefits of a Bow Valley College education.
- Utilizes the Student Information System (SIS) and college CRM to inform themselves and advise on appropriate next steps for college applicants current students and former students.
- Works with department contacts and other college employees to resolve issues only referring complex cases and/or cases not defined by policy to supervisor.
- Assists students with the application process and works with students to ensure completeness of information (i.e. obtaining email address obtaining and ASN filling out the application form and or applying online).
- Assists with any general information questions and refers students to appropriate service areas and or departments as required.
Recruitment Events and Marketing
- Responsible for promoting and assisting with recruitment events and initiatives such as Open House Preview Night and Campus Tours.
- Collaborates with supervisor and the Digital & Web Team to identify any errors update content and or make suggestions and improvements to web communications and marketing collateral.
- Responsible for collecting entering and importing information into the Welcome Centre CRM platform.
- May be responsible for assisting with maintenance and data entry of third-party systems including Wufoo and MailChimp.
General College Information and Advising
- Expected to use investigative and problem-solving skills to determine issue/problem and to:
- Understand the problem/issue and
- Resolve the problem/issue or;
- Communicate possible outcomes and work with other employees (i.e. department contacts supervisor etc.) appropriately to resolve complex issues.
- Follow-up with students and employees to ensure problem has been resolved.
- Tracks daily statistics and reporting metrics to supervisor.
- Organizes supply of Welcome Centre collateral and resources and informs supervisor if additional items are required.
Required qualifications:
- Diploma
- 1 or more years of relevant customer service experience working in a face paced high demand customer service environment
- An equivalent combination of directly related education and experience may be considered
- If your education was received internationally we will require you provide an international education assessment through IQAS WES or one of the other nationally designated organizations upon hire
