This is a remote position.


Role Name: Admin Assistant

Schedule: Part-time - 20h per week

Client Time zone: Pacific Time (California) - Monday - Friday 10am-2pm PST

Job Description

We re seeking a proactive and independent Executive Assistant to join our growing educational organization. This role offers the unique opportunity to make a direct impact on both the professional operations and personal efficiency of a dynamic leader. You ll be entrusted with diverse responsibilities ranging from professional communications and CRM management to event coordination and strategic project support. This position is perfect for someone who thrives in a fast-paced environment enjoys variety in their daily tasks and wants to grow alongside a successful organization. With strong potential for expansion from part-time to full-time this role offers the chance to build a trusted partnership while contributing to meaningful educational initiatives.


Responsibilities
  • Craft professional emails and communications to corporate partners community organizations and stakeholders
  • Coordinate engaging school events including open houses and educational field trips from start to finish
  • Create important organizational documents such as safety training materials using modern tools and AI assistance
  • Manage data integration and transfer between various business systems and platforms
  • Master and implement HubSpot CRM system including seamless integration with QuickBooks
  • Provide personal assistant support including appointment scheduling and logistics coordination
  • Take ownership of email management across multiple inboxes eventually responding on behalf of leadership
  • Conduct strategic outreach to potential donors and community partners for school programs and events
  • Support various administrative initiatives and special projects as they arise
  • Input data into QuickBooks
  • Admin tasks related to HR Compliance



Requirements

  • Exceptional written communication skills with the ability to represent the organization professionally
  • Experience with HubSpot CRM platform strongly preferred
  • Demonstrated ability to work independently with minimal supervision and take initiative
  • Quick learner who can adapt to new tools and processes efficiently
  • Available to work during Pacific Time business hours
  • Comfortable with various digital platforms and technology solutions
  • Flexibility to handle both professional business tasks and personal administrative support
  • Strong organizational skills and attention to detail
  • Desire to build a long-term trusted working relationship with growth potential
