Job Description

The Richmond Behavioral Health Authority is seeking an Administrative Coordinator to join the IT Department. This position provides intermediate-level administrative support with a focus on IT operations assisting in the coordination of departmental activities maintaining technical documentation managing data systems and supporting IT staff and projects. Work is performed under the limited supervision of the assigned supervisor.

Essential Functions

  • Serves as the primary administrative support for the IT Department; answers calls and assists with departmental inquiries.
  • Ensures accuracy and integrity of data within IT systems to meet compliance and operational standards.
  • Maintains and updates the departments information management systems including asset tracking and software inventories.
  • Collects and compiles technical and operational data for monthly performance and compliance reports.
  • Updates user accounts system access records and IT documentation as needed.
  • Assists with timekeeping for IT personnel; collects leave documentation and submits electronic timesheets.
  • Maintains inventory of IT supplies and equipment; coordinates procurement and restocking.
  • Prepares and submits reports to management ensuring compliance with State and Federal IT regulations.
  • Assists with invoice processing budget tracking and reimbursement requests related to IT purchases and services.
  • Records and distributes meeting minutes for IT team meetings and project briefings.
  • Maintains and updates departmental forms manuals and documentation related to IT policies and procedures.
  • Prepares and verifies biweekly payroll forms for submission to Finance.
  • Designs internal communication materials such as help guides quick reference cards and event collateral.
  • Maintains IT staff contact lists distribution groups and internal directories.
  • Collects feedback from staff and users regarding IT services; compiles monthly reports for departmental review.
  • Provides training and support to administrative staff on IT tools and software; assists with basic troubleshooting of hardware and software issues.
  • Coordinates and manages scheduling for IT service appointments installations and maintenance activities.
  • Files and scans technical documents contracts and service records.
  • Supports special IT projects and initiatives as assigned.
