Responsibilities
- Coordinate complex international travel arrangements across multiple time zones and residences
- Manage personal affairs and logistics for executives and their families
- Conduct business research and provide analytical support for investment activities
- Handle booking and coordination for airlines accommodations and premium services
- Organize and maintain digital files using Microsoft 365 and SharePoint systems
- Implement and manage organizational systems using tools like Notion
- Provide technology troubleshooting support across various devices and platforms
- Maintain strict confidentiality while handling sensitive information and financial transactions
- Communicate effectively with diverse vendors and service providers in the Miami market
- Respond to urgent matters during executive travel including evenings and weekends when necessary
- Anticipate needs and proactively solve problems before they arise
Requirements
- Proven track record as a seasoned administrative professional with stable work history
- Excellent English communication skills (Spanish proficiency is a valuable plus)
- Advanced proficiency with Microsoft 365 suite SharePoint and modern productivity tools
- Experience with organizational platforms like Notion or similar project management systems
- Strong technology troubleshooting abilities and comfort with new digital tools
- Proactive mindset with exceptional problem-solving and critical thinking skills
- High level of curiosity intelligence and ability to learn quickly
- Demonstrated ability to maintain absolute confidentiality and discretion
- Flexibility to work across different time zones and adapt to changing schedules
