Summary: The Purchasing Administrator supports buyers and purchasing managers by handling administrative and low-level buying responsibilities. This includes maintaining accurate procurement records coordinating supplier communications managing data within MRP systems and providing support for production purchasing needs. Occasional travel to the Carson California location for training or projects is required.
Key Responsibilities: - Obtain verify and organize responses to open purchase order (PO) reports; escalate issues to buyers.
- Expedite production shortages in coordination with buyers.
- Coordinate PO schedule changes between suppliers and buyers.
- Collect and file supplier PO confirmations.
- Resolve receiving issues with the receiving department.
- Digitize and scan documents into appropriate on-base folders.
- Manage supplier correspondence; summarize and organize responses as needed.
- Retrieve missing documentation or data from suppliers.
- Run and interpret reports from Birst ZAP and M3 systems.
- Perform other duties as assigned by the department.
- Act as a backup to the MRO Buyer when directed by the manager.
- Place production purchase orders for simple repeat buys based on MRP proposals ensuring on-time delivery and target inventory levels.

Qualifications: - Education: Bachelors degree in Business Finance or a related field preferred.
- Experience: 2 5 years in purchasing and/or buying preferably in aerospace or manufacturing.
- Language: Bilingual fluent in both Spanish and English (written and verbal).
- Travel: Willingness to travel to Carson CA location for training or projects.
- ERP Systems: Experience with ERP platforms such as M3 PeopleSoft Oracle or SAP.
- Software Proficiency: Strong Excel skills; familiarity with Word PowerPoint Lotus Notes. Experience with ZAP Birst and Spreadsheet Server is a plus.
- Math Skills: Able to apply fractions percentages ratios and proportions in practical scenarios.
- Procurement Knowledge: Basic understanding of commodities and commercial purchasing terms.
- Reporting Tools: Proficient in using IT reporting platforms like ZAP Dashboards.
