Job Title: Senior Associate National Station Services

POSITION OVERVIEW
The Senior Associate will help maximize the success of WETA National Productions within the public broadcasting community by working with local PBS stations to support and report on outreach and community engagement activities related to various projects including Ken Burns films Henry Louis Gates Jr. projects Well Beings and to support to the promotion of all national projects and syndicated programming.
The Senior Coordinator is responsible for supporting the National Strategic Engagement Team (NSET) with the delivery of innovative and effective engagement education outreach and programming initiatives with a primary focus on the communication of broad partnerships and resources from the development phase to implementation to execution follow-up and final reporting. An emphasis of this role includes managing and tracking contacts and data to support marketing outreach and engagement efforts across the entire public media system with attention to diversity equity and inclusion.
PRIMARY RESPONSIBILITIES:
- Provide support for Station Relations & Syndication (50%) and National Impact and Engagement (50%).
- Coordination of the station support process including the development of tracking documentation; distribution of RFPs and creation of proposal submission forms; scheduling review panels and active participation in proposal review; and creation of station support agreements and payment requests.
- Maintain contact management system (Salesforce) to consolidate all contact lists and provide regular updates also service as liaison for Salesforce team and WETA IT for platform usability.
- Process and deliver event survey responses to stations in a timely manner following engagement events.
- Schedule team meetings and attend meetings with internal and external groups and clients as required.
- Manage asset platforms including NSET SharePoint folders Google Drives and Brandfolder internal and external project toolkits.
- Support creation and distribution of project e-communications to station contacts for all national and syndicated projects.
- Oversee development asset-collection and monthly distribution of The Loop an external facing newsletter covering the latest news from the National Productions team.
- Track create and deliver comprehensive carriage and ratings reports for national and syndicated programs.
- Manage talent requests from stations and coordinate with National Digital and Communications teams and with producers and talent.
- Help create and update all video and PowerPoint presentations used for all internal and external promotion.
- Assist with all events for national conferences major market meetings workshops and all virtual events.
- Support the creation accuracy and delivery of final impact reporting by maintaining project presentation decks and following up with local PBS stations external evaluators and internal departments to collect and compile necessary information.
- Provide project management support by assisting with the development of workflows to help keep assets updated and departments informed throughout the lifecycle of a project.
- Research potential national partnership opportunities to broaden the impact and reach of national WETA projects.
- Contribute to the development and maintenance of project tracking and deliverables.
- Upload sort and deliver individual custom station promos from national and syndicated programs
- Organize and coordinate station promotional mailings and giveaways.
- Assist with meeting and calendar management for NSET.
- Serve as secondary point-of-contact for members of the entire NSET.
- Assist in special projects and perform other duties as assigned.
ADDITIONAL SKILLS AND QUALIFICATIONS:
- High school diploma or GED; college degree in media education or related field preferred.
- At least three years of office experience or experience in a media production environment.
- Ability to manage quickly changing priorities and meet daily deadlines.
- Or equivalent combination of education and experience.
- Knowledge of and ability to develop and manage project plans ensuring steps in process from the planning stages to completion are met.
- Excellent organizational and time management skills with masterful attention to detail.
- Demonstrated knowledge of general office procedures.
- Demonstrated understanding and application of computer technology using Microsoft Office programs (Word Excel and PowerPoint) and database management and content management systems.
- Experience with MailChimp Photoshop Canva or other design software for graphics creation is highly preferred.
- Experience with Salesforce is strongly encouraged.
- Experience with Brandfolder or another asset management system is a plus.
- Strong communication skills including error-free writing and editing skills.
- Demonstrated ability to work effectively both independently and in a team environment in an atmosphere of multiple projects shifting priorities and deadline pressures.
- Strong interpersonal and diplomacy skills. Service orientation preferred.
- Ability to take initiative while being flexible with an interest in performing a wide range of duties.
- Comfortable taking directions from more than one manager.
- Must be well organized and capable of multi-tasking.
EDUCATION & EXPERIENCE
- High school diploma or GED; college degree in media education or related field preferred
LOCATION:
WETA and NewsHour Productions are Washington DC established media and news organizations. We are a largely local workforce based out of the Campbell Place office in Arlington VA. WETA and NewsHour Productions value employee flexibility when possible. Most positions based in our Arlington VA office will be onsite or hybrid depending upon the role.
