Job Summary:

The Arizona Department of Corrections Rehabilitation & Reentry (ADCRR) is seeking a detail oriented and customer service minded individual to perform clerical work of average difficulty regarding inmate records. As a Correctional Records Clerk I this position will file and retrieve documents in accordance with ADCRR guidelines review/audit offender information files for accuracy and ensure information and documents are filed appropriately for all offenders housed within ADCRR.

Job Duties:

-Prepares sorts and files documents in chronological terminal and digital order in the appropriate section of four (4) sided offender files
-Pulls shuffles and returns offenders files within the guidelines of ADCRR policy
-Opens mail and distributes to the appropriate section
-Fax scans and copies files as needed
-Reviews and audits offenders information files for accuracy
-Searches for required information and misplaced files or documents
-Arranges and attends both mandatory and elective training classes
-Drives on State business
-Performs other duties appropriate to assignment

Knowledge Skills & Abilities (KSAs):

Knowledge of:

-Filing systems
-Basic office practices and procedures
-Personal computers and software including Google Suite
-English language including grammar spelling and punctuation

Skill in:

-Written and verbal communication
-Establishing and maintaining interpersonal relationships
-Customer Service
-Attention to detail
-Time management

Ability to:

-Operate various office equipment to include computers faxes phones scanners and copiers
-Learn through repetition practice and on the job training
-Communication and follow written and verbal instruction
-Route incoming calls
-Load and unload van of inactive records
-Learn the operation and use of the Arizona Correctional Information System (ACIS)
-Standing bending and reaching for a long period of time
-Follows rules regulations policies and procedures as they apply to offender records

Selective Preference(s):

High School Diploma or General Education Diploma (GED)

Pre-Employment Requirements:

Employment is contingent on the selected applicant passing a background investigation and drug test.

In an effort to maintain a safe environment all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.

If this position requires driving or the use of a vehicle as an essential function of the job then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current valid class-appropriate drivers license complete all required training and successfully pass all necessary drivers license record checks. The license must be current unexpired and neither revoked nor suspended. Employees who drive on state business are subject to drivers license record checks must maintain acceptable driving records and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R.11).

If this position requires driving or the use of a vehicle as an essential function of the job to conduct State business then the following requirements apply:Drivers License Requirements.

All newly hired State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).
