Job Summary

The Division of Global Health Equity part of the Department of Medicine at Brigham and Womens Hospital (BWH) fosters the support and coordination of training research and service to reduce disparities in disease burden and to improve treatment outcomes both nationally and internationally. The Division focuses on the diagnosis prevention and treatment of health problems particularly those that disproportionately affect populations in the developing world. The Division is also the administrative home of the Center for Integration Science in Global Health Equity (CIS).

Directed by Dr. Gene Bukhman CIS focuses on developing implementing and evaluating integrated care delivery models to address severe chronic noncommunicable diseases (NCDs) such as type 1 diabetes sickle cell disease and rheumatic heart disease in highly constrained health systems. CIS is a collaboration between the Division of Global Health Equity the Department of Global Health and Social Medicine at Harvard Medical School (HMS) and Partners In Health (PIH). The Center also serves as a co-secretariat for the NCDI Poverty Network together with the Universidade Eduardo Mondlane (UEM) in Maputo Mozambique). The CIS administers the Networks PEN-Plus Partnership. This Partnership promotes the integrated delivery of services at district hospitals for NCDs that disproportionately affect children and young adults.

The Events Specialist Advancement plays a pivotal role on the Centers Advancement team which oversees partnership management communications and advocacy efforts for the Center and the NCDI Poverty Network. The Events Specialist will Oversee coordination and communication for all Advancement events both within the US and globally. S/he will take the lead in designing and managing core processes and systems related to events setting the standards and SOPs for management of external engagement activities; and event design planning and logistics. The Events Specialist will report to the CIS Senior Director of Advancement.


Principal Duties and Responsibilities:

Event Design Strategy and Planning
With the Senior Director and other stakeholders design the purpose content and shape of both web-based and in-person events intended to cultivate and engage our core audiences (including donors implementing partners and government partners).
Develop and maintain an events calendar and run monthly meetings with CIS leadership to facilitate decision-making around events.
Serve as the primary liaison with in-house and invited speakers including issuing invitation letters; prepping talking points; drafting powerpoints; and consolidating presentation materials.
Staff events and in collaboration with Senior Director determine any additional staffing needs; oversee run-of-show

Data Management
With the Senior Director oversee the architecture and use of the constituent database and email marketing tools related to event invitations and RSVPs.
Work with the Advancement Coordinator to maintain data quality of the databases through conducting regular audits of key information. Ensure timely and accurate data entry related to events with end-use in mind.
Perform list pulls email sends and data analysis in support of Advancement events

Administrative Leadership
Become an expert in administrative processes related to core event functions; train the Advancement Coordinator and others as needed in relevant systems and standards
Develop and iterate Standard Operating Procedures (SOPs) for core event management functions such as data entry and list pulls; speaker prep; webinars; and event planning
Serve as primary organizational liaison with event vendors compiling and fielding quotes; and ensuring event expectations and standards are met and follow BWHs applicable policies and procedures for large-scale events (including purchasing and procurement policies pricing and use of approved vendors). Work collaboratively with CIS finance team and the Advancement Coordinator to ensure appropriate management of contracts invoices payments and expenses.

- Proficiency in event management software and tools for registration budget tracking and reporting.

- Strong interpersonal and communication skills to work effectively with internal teams vendors and external partners.
- Creativity and innovative thinking to develop unique event concepts and marketing strategies.
- Attention to detail and the ability to maintain accuracy in a fast-paced environment.
