Description

The Administrative Assistant to the MLP Director provides high-level administrative support for the MLP-Multi-Language Program Director of BYU-Pathway Worldwide as well as works with the organization to perform special assignments as directed by MLP Director. The primary functions of these assignments have wide implications. The position requires coordination with others both within and outside of the organization and a demonstrated ability to perform standard organizational tasks. In addition to understanding BYU-Pathway Worldwide the assistant must understand the organization of the Church BYU-Idaho and the Church Educational System.

The Administrative Assistant to the MLP Director is expected to keep up with the quick pace of all MLP dealings in a professional environment and regularly changing schedules. Being teachable perceptive and proficient at learning is required to effectively manage the competing demands and priorities associated with this position. The administrative assistant to the MLP Director position is one of high visibility and often includes working with documents and information that are confidential sensitive and of high importance to BYU-Pathway Worldwide.

The Administrative Assistant to the MLP Director is critical in supporting the BYU-Pathway Worldwide Multi-Language Program Director as they strive to fulfill the institutions mission to develop disciples of Jesus Christ throughout the world who are leaders in their homes the Church and their communities. The administrative assistant to the MLP Director must represent the organization in a manner the demonstrates knowledge and understanding of the BYU-Pathway Worldwide Defining Characteristics allowing senior leaders to focus their time and energy on strategic priorities and goals.

Important: This part-time position typically works (Monday Friday between the hours of 8 am - 5 pm). This position is a hybrid position

By applying for this position you are indicating that you are currently authorized to work in the United States without sponsorship are willing to physically reside and perform the work in Utah and are willing to come into the BYU-Pathway Worldwide headquarters in Salt Lake City 1-3 days per week.



Responsibilities

Responsibilities include:

  • Maintain a professional public image for BYU-Pathway Worldwide.

  • Complete special projects including (but not limited to): attend all MLP Subcommittee Meetings to which s/he is assigned gather information for presentations relaying assignments and report editing and writing.

  • Draft high-profile and professional correspondence and communication.

  • Perform routine office duties such as typing filing ordering entering data drafting correspondence running errands making travel arrangements and scheduling rooms and appointments.

  • May manage the Multi-Language Program Directors calendar and scheduling meetings
  • It requires producing agendas and respective minutes for meetings.
  • Manage student workers schedules and train as needed.

  • Assist the Multi-Language Program Director with travel and expense reconciliation.



Qualifications

Education:

Individuals must be enrolled as a degree/certificate seeking matriculated student at a CES institution (BYU BYU-Idaho including online BYU-Hawaii Ensign College) OR taking PathwayConnect for the first time.

Ability to:

Determine priorities protocol and make professional decisions.
Receive constructive feedback.
Demonstrate good discretionary and mature judgement.
Capable of complete discretion and confidentiality.
Work well with others.
Maintain confidentiality professionalism and organization.
Research and provide data analysis.
Mentor and supervisor student workers.

Skill Set:


Excellent organizational writing grammar and editing skills.
Excellent written and verbal communication.
Proficient with Microsoft Office Software (Word Excel Outlook Teams PowerPoint).
Fluent Portuguese Speaker at all communication levels.
Fluency in Spanish is well welcomed but not required.
