Job Description

About the Job:

This role provides comprehensive administrative support to the Board of Directors/ CEO handling communication scheduling travel coordination and financial management. It involves acting as a liaison between internal and external stakeholders maintaining confidentiality managing office supplies and supporting digital transformation efforts. Additionally the role includes organizing meetings preparing reports and overseeing document and database management.

Responsibilities:

  • Act as the first point of contact for internal and external communications including emails calls and visitors for the Board of Directors/CEO.
  • Screen and manage telephone calls directed to the Directors.
  • Build and maintain positive relationships with internal and external stakeholders acting as a liaison between management and various departments on behalf of the directors.
  • Maintain strict confidentiality and handle sensitive information with integrity.
  • Coordinate domestic and international travel logistics manage expense tracking and handle necessary travel arrangements in collaboration with relevant parties.
  • Coordinate and manage all aspects of foreign visits including arrangements and logistics.
  • Manage personal and business expenses banking transactions track budgets and process reimbursements.
  • Provide high-level administrative support to the directors/CEO by coordinating and organizing meetings scheduling and managing calendars preparing agendas and handling logistics.
  • Record accurate meeting minutes transcribe notes and maintain detailed records.
  • Manage the Quarterly Management Meetings and ensure follow-up on minutes.
  • Draft edit and proofread business correspondence reports and documents and coordinate content for company and personal profiles.
  • Prepare reports presentations and correspondence using MS Word Excel and PowerPoint.
  • Handle general administrative duties including data entry and record maintenance.
  • Manage a centralized archive and database within the Secretarys office overseeing document tracking monthly data compilation and preparing reports from HODs on departmental activities and achievements.
  • Track and manage office supplies and printed materials including company profiles visiting cards and letterheads for the Board of Directors.
  • Serve as an active participant in the companys digital transformation projects.

Requirements & Qualifications:

  • Minimum 3 year of experience in similar capacity.
  • Hold a degree/ professional qualification.
  • Should have good communication skill.
  • Proficient in gathering information and composing letters in both English and Sinhala.
  • Creative and skilled in creating presentations and designing content. Possesses an innovative and out-of-the-box thinking mindset.
  • Experienced in proofreading agreements for accuracy and completeness.
  • Collaborative team player with a positive attitude towards achieving goals collectively.
  • Familiarity with utilizing new AI tools to enhance productivity.
  • Hands-on expertise in Canva Photoshop and Illustrator would be an added advantage.
