Job Description

InfuSystem is a growing healthcare service provider specializing in infusion pumps and related products and services for patients in hospitals clinics ambulatory surgery centers and other major service centers. We provide direct payer rentals pump and consumable sales and biomedical services and repair serving all 50 states and Canada. Headquartered in Rochester Hills Michigan we have Centers of Excellence in Kansas California Massachusetts and Ontario Canada.

As a leader in our field our mission is to provide quality infusion services to patientsand medical practices including a 24hour clinical support hotline. Our team effort provides product management

SUMMARY:

The Administrative Assistant/Office Manager will perform a variety of office management and support tasks including serving as the primary point of contact for the main office including greeting visitors and answering phones. This position will also provide general administrative support including filing copying relaying messages placing orders for supplies and requesting service for office equipment when necessary.

IN THIS ROLE THE IDEAL CANDIDATE WILL:

  • Answers incoming telephone calls as needed
  • Welcomes on-site visitors determines nature of business and announces visitors to appropriate personnel provides and tracks visitor badge.
  • Receive sort and route mail and maintains and routes publications. Ensure returned mail is given to appropriate personnel.
  • Processes all outgoing mail requests funds for additional postage for meter
  • May perform other clerical duties as needed such as filing photocopying and collating mailing and making file folder labels.
  • Arrange for training and fill-in of phone and front desk when out of the office or in meetings.
  • Maintain various office lists for phone extensions and emergencies.
  • Verify seek approval scan submit to Accounts Payable and file invoice copies for record keeping.
  • Point of contact for vending company requests orders and employee vending machine card questions.
  • Orders acknowledgements (flowers or appropriate recognition) for employee family births deaths hospitalizations and other occasions as appropriate.
  • Maintains confidentiality of Company and Employee personal information.
  • Support service manual updates for biomed teams
  • Ensure MSDS are maintained and current for all InfuSystem locations
  • Maintain posting of required licenses and labor law posters
  • Validate and verify customer change forms and pricing
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities

THE IDEAL CANDIDATE WILL HAVE THE FOLLOWING QUALIFICATIONS:

  • High School diploma or GED 5 years experience in a front desk Administrative role or related professional area
  • Knowledge of computers and relevant software programs such as Microsoft 365 and Sharepoint
  • Ability to work in a dynamic fast-paced environment with strong multi-tasking capabilities
  • Ability to work alone and as a team
  • Must be highly organized with the ability to establish priorities and meet deadlines
  • Self-motivated
