Job Description

Administrative Secretary

Temporary full-time position (35 hours/week) until return of incumbent

Working under the direction of Directors of Instruction District Principals and Managers the Administrative Secretary acts as a confidential secretary to the Administrator(s) and performs a variety of duties to ensure the efficient operation of the office. The Administrative Secretary relieves the administrator of organizational detail wherever possible by dealing with matters not requiring the administrators personal attention.

Duties and Responsibilities:

  • Acts as a secretary to the Administrator(s) by processing confidential material and preparing routine correspondence memos and reports.
  • Facilitates the organization of information from numerous sources for reports projects schools or the general public.
  • Maintains office records by entering updating and verifying material for accuracy and completeness.
  • Acts as a receptionist.
  • Performs calculations for a variety of purposes including account balances costing and budget control.
  • Receives opens sorts and distributes incoming mail and deliveries and prepares outgoing mail and parcels.
  • Operates a variety of office equipment and related equipment.
  • Performs a variety of general clerical duties such as filing and photocopying.
Qualifications:
  • Courses in computer software application plus three years related work experience or an equivalent combination of training and/or experience.
  • Demonstrated ability to type at a minimum speed of 60 wpm net.
  • Thorough knowledge of computer operation and software applications related to work performed.
  • Thorough knowledge of office procedures.
  • Ability to communicate effectively at the level required for the job.
  • Physical ability to perform the duties and responsibilities of the job.
  • Demonstrated ability to work at the level of independence and with the degree of initiative appropriate to the position.
This is a temporary full time position until return of incumbent working 35 hours/week. Hours of work are Monday-Friday 08:30-16:00. The hourly rate is $35.11 per hour. Qualified applicants should apply by submitting a resume and cover letter in ONE PDF document via email to:
