Position Overview:

We are seeking a highly organized proactive and detail-oriented Executive Assistant to support our Chief of Staff. This role requires discretion exceptional organizational skills and the ability to handle multiple priorities in a fast-paced environment. The ideal candidate will demonstrate initiative critical thinking and a positive attitude ensuring day-to-day operations are seamless and efficient.

Key Responsibilities:

Manage and prioritize the Chief of Staffs calendar.

Prepare and edit correspondence reports presentations and other documents with meticulous attention to detail.

Anticipate needs and take initiative to resolve issues proactively.

Coordinate meetings including agenda preparation note-taking and follow-up action items.

Handle sensitive information with confidentiality discretion and professionalism.

Assist with special projects and cross-departmental initiatives as needed.

Demonstrate critical thinking to solve problems and improve processes.

Perform other administrative duties to ensure operational efficiency.

Qualifications:

Proven experience as an executive assistant or in a similar administrative role.

Discretion and confidentiality are paramount.

Excellent organizational time-management and attention to detail.

Strong critical thinking and problem-solving abilities.

Ability to take initiative and work independently with minimal supervision.

Excellent communication (written and verbal) and interpersonal skills.

Positive attitude with a professional demeanor.

Ability to handle multiple priorities with efficiency and composure.

Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) familiarity with collaboration tools (e.g. Teams) and creating and editing organizational charts.
