The ideal candidate has a proven track record of:
- 2 years of administrative experience in a real estate environment (team brokerage mortgage/title office law firm etc.)
- Thriving in a fast-paced office setting with multiple moving parts
- Managing complex schedules details and communications effectively
- Proficiency with technology: CRM systems G-Suite ZipForms DocuSign and social media content planning
- Excellent time management organization and communication skills
- Strong critical thinking and problem-solving ability
- Willingness to learn through doing and accept constructive feedback
- Bringing order and clarity to chaos
Key Responsibilities
- People & Communication: Coordinate with internal team members and external partners. Respond to emails texts and voicemails on behalf of Kinan.
- Client Service: Engage directly with clients throughout the transaction process.
- Showings: Assist with buyer and listing showings particularly for high-end properties.
- Listings Management: Support the staging and home prep process manage MLS listing input/editing coordinate with transaction coordinators collect weekly seller feedback and ensure listings are market-ready.
- Client Experience: Oversee past client engagement (our Care Bear system) organize client events and parties and manage client gifts and closing details.
- Admin Ownership: Own and execute all administrative functions with excellence.
- A valid Real Estate License is required for this job
- Strong interpersonal skills and time management skills
- Accustomed to navigating computer software such as Microsoft Office and MLS
- Real estate experience preferred
- 2 years of experience as a personal assistant office manager or related position
- Used to handling private information and meeting hard deadlines
