Type of Appointment: Full Time Long Term Temporary (One Year)

Job Classification:Graphic Designer

Anticipated Hiring Range: $4058 - $4482 per month

Work Schedule:Monday - Friday 8:00am-5:00pm


THE DEPARTMENT:

Outreach Recruitment & Educational Partnerships (OREP) is responsible for outreach and recruitment of prospective domestic undergraduate students and plays a key role in enrollment planning and reporting. OREP is charged with promoting the image of the University its programs and uniqueness; attracting and recruiting a diverse and high achieving pool of applicants; developing relationships and collaborations with campus external and internal constituents; and providing timely accurate and comprehensive services to students and campus through point of inquiry and enrollment. OREP is responsible for compliance with federal state CSU system and University requirements and the timely and accurate dissemination of information to students parents campus constituents the CSU Chancellors Office and the external community. OREP provides dedicated quality outreach and recruitment programs and strategic communication to prospective students schools and community organizations and the delivery of student services that support recruitment college readiness and persistence. Programs include domestic undergraduate outreach out-of-state recruitment and campus tour programs. OREP reports to the Presidential Associate for Community Partnerships Engagement and Outreach in the Office of the President.

DUTIES AND RESPONSIBILITIES:

Content Creation & Graphic Design:

  • Design and produce straightforward graphic materials such as but not limited to invitations newsletters brochures web banners booklets flyers agendas and digital ads for OREP projects programs and events.
  • Follow written specifications style guides and brand standards in the development of visual assets.
  • Support layout and pre-press production processes preparing final files for both digital and print distribution.
  • Contributes to the development of visuals using a basic level of creativity and ingenuity based on established marketing goals and concepts.
  • Collaborate with supervisors and senior team members for artistic direction to ensure consistency in style and thematic alignment across project components.
  • Apply standard procedures and workflows while making routine design decisions within established guidelines.
  • Lead the development and implementation of the unified marketing plan aimed at future students.
  • Ensure all graphic and digital communications are clear accurate and aligned with institutional messaging.
  • Provide feedback and edits to improve communication materials.
  • Develop and implement communication timelines to ensure timely delivery of messages.
  • Ensure all communication efforts support recruitment and enrollment goals.
  • Oversee the production of printed materials and communication pieces to support the department.
  • Utilize our various systems for engaging future students and coordinate timely follow- up with the department.
  • Assist with the creation development production and distribution of the OREP newsletter ensuring it is informative and engaging.
  • Develop and maintain a virtual graphics toolkit with templates suitable for various platforms.

Digital Communications:

  • Develop write edit and proofread digital content for email social media and web-based platforms targeting prospective students.
  • Manage content calendars for social media; monitor engagement and respond to inquiries.
  • Utilize Slate CRM and CMS tools to manage communications and segment audiences.
  • Assess new digital tools (e.g. chat texting) for improved engagement.
  • Track and report on key performance indicators (KPIs) and communication effectiveness.
  • Ensure web content remains updated accurate and relevant to target audiences.
  • Implement market research insights into outreach and marketing campaigns.

Outreach Support and Institutional Collaboration

  • Collaborate with Strategic Communications and academic departments to align visual and written content with university messaging and branding standards.
  • Coordinate with faculty staff designers and photographers on publications and promotional efforts.
  • Collect stakeholder feedback to inform and refine multimedia marketing strategies.
  • Mentor and guide staff and student assistants in communication design and outreach projects.

Signature Events Support:

  • Provide live social media updates and real-time coverage at OREP signature events.
  • Create multimedia marketing plans and post-event reports capturing key metrics and highlights.
  • Capture photos and stories for post-event communications and archives.
  • Ensure communication materials and signage are available and distributed appropriately.
  • Collaborate with Strategic Communications for media coverage and promotional efforts.
  • Distribute surveys and analyze post-event feedback to improve future events.
  • Maintain and update a database of stakeholders for event invitations and communications.

OREP Administrative Support:

  • Participate in all OREP and divisional staff development staff meetings and major staff events to promote the University.
  • Conduct testing of systems utilized by OREP (e.g. Cal State Apply Slate information/communication system etc.)
  • Adhere to laws and policies established regarding computer data records accounting and personnel by California State University Cal Poly Pomona and OREP to demonstrate sensitivity and appropriate conduct as a university employee.
  • Adhere to and advises prospective students properly regarding CSU admission policies.
  • Prepare and utilize outreach reports detailing application admit enrollment trends and analyzes prospective student inquiries to determine yield strategies.
  • Performs administrative and programmatic duties as assigned including providing generalist support at the department service desk and telephones.
  • Works extended hours weekends and evenings to support OREP programs and services.
  • Rotates on a needed basis to perform customer service duties and support the front- facing counter of OREP as determined by OREP leadership and/or operational need.
  • Ensure compliance and maintain the integrity of prospective students applicants and student records; staff members are strictly prohibited from making unauthorized changes without explicit HEERA permission.
  • Other duties as assigned.

QUALIFICATIONS:

  • Bachelors Degree - College degree in graphic design fine arts or a related field or through technical experience and/or relevant coursework.
  • Driver License Valid and in State
  • Entry to the first level within this classification requires foundation knowledge in the principles and techniques of artistic and graphic design as well as demonstrated design and artistic skills. In addition strong communication skills and the ability to use and maintain currency with applicable computer software packages and systems are essential to entering this classification.
  • Working knowledge of the principles of artistic and graphic design and illustration including the ability to design layout and prepare finished artwork to develop a visual product. Working knowledge of applicable graphic design and desktop publishing software packages and ability to effectively use them to create visual material. General knowledge of the principles of print design typeface color layout and production techniques. Working knowledge of the use of color tone shading harmony and perspective drawing. General knowledge of systems techniques and processes used in web site design photography printmaking and other applicable media. Demonstrated understanding of various communication vehicles and methods. Basic knowledge of copyright laws especially relating to creative properties. Demonstrated ability to understand communication goals. Strong written/verbal communication skills.


PREFERRED QUALIFICATIONS:

  • Experience with Graphics/Web Design through tools such as but not limited to Cascade and Adobe Office.
  • Experience creating and editing engaging graphics or/and video content for social media website and marketing projects.
  • Experience with web content management.
  • Copy editing and proofreading experience.
  • Knowledge of accessible content best practices on social media.
  • Customer service-oriented with experience communicating in a public-facing role.
  • Two years of social media management experience (oversight of Facebook Twitter and Instagram accounts) for a company institution or brand.

CSU Classification Salary Range

This position is part of the CSUEU bargaining unit 9. The CSU Classification Standards for this position are located on theCSU Classification Standards website. The CSU Salary Schedule is located on theCSU Salary Schedule website. The classification salary range for this position according to the respective skill level is: minimum $4058 and maximum$6883 per month. Positions that require driving for university business by using a personal or state vehicle must comply with the Authorized University Driver Policy. Driving records are monitored and evaluated by the Risk Management Department. The Risk Management Department evaluates a good driving report based on the following criteria. The driver must: 1. Have a valid California or other State Drivers license. 2. Have no more than 3 motor vehicle violations or been the cause of 3 accidents in a 12-month period (or any combination of 3 thereof) 3.
