Job Description

Position Overview & Responsibilities
The CMMS Administrator provides critical support to the Director of Facility and Scientific Instrument Services (SIS) as well as department managers by coordinating daily operational tasks and maintaining efficient communication and workflow within the Facility and SIS departments. This role plays a key part in managing the computerized maintenance management system (WebTMA) processing service requests and ensuring timely and accurate maintenance scheduling. In addition to overseeing routine and preventive maintenance efforts the CMMS Administrator serves as a central point of contact for internal requests and external vendors offering administrative and logistical support to ensure smooth departmental operations. Responsibilities include but are not limited to:
  • Assisting with scheduling daily operations including projects routine maintenance preventive maintenance unscheduled maintenance and repairs
  • Managing incoming phone calls email and written service requests (e.g. lighting issues plumbing electrical needs flooring repairs)
  • Providing radio dispatch support for Facility Services and Scientific Instrumentation Services
  • Operating and helping manage the WebTMA system for service request processing and preventive maintenance work orders
  • Scheduling and transmitting preventive maintenance tasks to qualified staff
  • Ordering parts and equipment for maintenance repairs and installations
  • Preparing maintenance and performance reports using the CMMS
  • Performing advanced administrative duties including file maintenance scheduling inventory management correspondence and report preparation
  • Supporting the Director and department managers with follow-up on service requests vendor communication billing and orders
  • Procuring services and supplies through requisition and purchase order processes
  • Assessing and improving office procedures for greater efficiency
  • Preparing and maintaining regulatory compliance documents and inspection schedules
  • Supporting document management accurate recordkeeping and resource organization
  • Performing other duties as assigned
Minimum Qualifications
  • High school diploma GED or equivalent
  • Minimum of 3 years of clerical experience
  • Excellent computer skills including proficiency with Microsoft Office Suite
  • Strong initiative and high attention to detail
  • Well-developed organizational and customer service skills
  • Demonstrated adaptability and efficiency
  • Excellent oral and written communication skills
  • Ability to meet deadlines and produce high-quality work while managing multiple tasks
  • Capacity to work independently and collaboratively
  • Comfortable working with a diverse group of people personalities and cultures
Preferred Qualifications
  • Associates degree in Computer Science Business Administration Finance Accounting or a related field
  • Knowledge of computerized maintenance management systems (CMMS) is a plus
Work Hours
  • Typically Monday through Friday 8:30AM-5:00PM.
