Job Duties

The Office of the State Inspector General (OSIG) is seeking a qualified individual for the position of Corrections Ombudsman Intake Coordinator. The Office of the State Inspector Generals Ombudsman Unit provides independent oversight of Virginias prison system to monitor and evaluate the health safety welfare and rehabilitation of incarcerated people in state custody and to ensure incarcerated people are treated fairly under the rules of Virginia Department of Corrections (VADOC). The Unit is entrusted by the public to process complaints comprehensively monitor and assess conditions of confinement conduct facility inspections and work collaboratively with the VADOC to resolve individual complaints address systemic issues and report findings publicly. The primary responsibility of the Corrections Ombudsman Intake Coordinator is to support the intake of complaints and inquiries from incarcerated people in Virginias state prisons. The duties and responsibilities of this position include providing administrative support to the OSIG Ombudsman Unit to include: Gathering information about complaints and inquiries for incarcerated people families and other members of the public who contact the unit by phone mail (electronic and postal) and online; processing reviewing and triaging mail voice messages and email correspondence efficiently and forwarding to the appropriate parties and managing records and entering/scanning information into a shared database.

Please note that two positions will be filled from this recruitment.

Minimum Qualifications

Working knowledge of office practices and procedures. Demonstrated ability to perform data entry. Demonstrated ability to provide customer service to internal and external customers. Working knowledge and experience of computer software packages used in a business setting to include Microsoft Office Suite. Demonstrated ability to communicate effectively both orally and in writing. Demonstrated ability to create and maintain files to include electronic filing systems. Strong organizational skills and the ability to handle multiple tasks simultaneously with minimal supervision. High school graduate or equivalent.

Additional Considerations

Knowledge of state government policies and procedures; Experience in criminal justice and/or corrections systems; Experience with Pentana or similar case management system.
