Position Summary


EnergyX is seeking a detail-oriented and analyticalAccounts Payable Specialistto join our Finance team. This individual will be responsible for managing all aspects of the accounts payable process ensuring the accurate and timely processing of invoices and payments maintaining strong vendor relationships and supporting process improvement initiatives. The ideal candidate will possess a solid foundation in accounting or finance demonstrate a high level of accuracy and exhibit a proactive approach to driving efficiencies.


Key Responsibilities


Invoice Processing & Payment Management

  • Process and code incoming invoices accurately and efficiently ensuring appropriate approvals and supporting documentation are obtained.
  • Prepare and review payment batches verifying compliance with company policies and vendor payment terms.
  • Partner with the purchasing team to ensure invoice coding accuracy and resolve documentation issues.
  • Coordinate with vendors and internal stakeholders to address and resolve payment discrepancies in a timely manner.


Vendor Relationship Management

  • Maintain and update vendor master data ensuring all records are accurate and complete.
  • Build and nurture positive vendor relationships serving as the primary point of contact for inquiries and issue resolution.
  • Negotiate payment terms and discounts with vendors to optimize cash flow and cost savings.


Account Reconciliation & Reporting

  • Manage accounts payable through the platform and ensure proper integration with QuickBooks.
  • Reconcile accounts payable transactions investigating and resolving discrepancies with vendor statements.
  • Prepare weekly reconciliations and reports for management review.


Process Improvement & Compliance

  • Identify and implement opportunities to streamline accounts payable workflows and enhance operational efficiency.
  • Collaborate cross-functionally to drive continuous process improvements and support automation initiatives.
  • Ensure compliance with company policies procedures and applicable regulatory requirements.
  • Prepare and maintain 1099 forms and support year-end reporting requirements.
  • Assist with financial reporting related to accounts payable and provide documentation for internal and external audits.


Additional Responsibilities

  • Support ad-hoc accounting projects and initiatives as assigned by the manager.


Qualifications

  • Bachelors degree in Accounting Finance or a related field OR a minimum of 3 years of accounts payable or related accounting experience.
  • Solid understanding of accounting principles and practices.
  • Proficiency in Microsoft Excel and accounting systems; experience with and QuickBooks is highly desirable.
  • Strong analytical and problem-solving abilities.
  • Exceptional attention to detail with a commitment to accuracy.
  • Effective communication and interpersonal skills with the ability to collaborate in a dynamic fast-paced environment.
