Job Description

Reports to: School Leadership & Support Coordinators

Duty Days: 238 Days

Wage/Hour Status: Non-Exempt

Pay Grade: AS03

Date Revised: 06-2023

Qualifications:

College hours high school diploma or GED

Proficient keyboarding word processing spreadsheet database and file maintenance skills

Excellent organization communication and interpersonal skills

Ability to work with people

Proficient typing and use of computers with programs such as Microsoft Office (Word Excel Power Point)

Organization skills and ability to organize events and materials

Excellent communication and interpersonal skills (oral and written)

Flexibility in work situation with capability of handling multiple requests efficiently

Ability to keep information confidential and work with confidential material

Excellent telephone and public relations skills

Ability to self-motivate and demonstrate initiative

Excellent spelling and grammar skills

Successful work experience in an office environment

Bilingual English/Spanish preferred

Primary Purpose:

Organize and manage routine work activities and provide clerical services to School Leadership & Support Coordinators

Major Duties and Responsibilities:

  1. Perform secretarial/clerical duties for School Leadership & Support Coordinators
  2. Coordinate communication with department personnel
  3. Manage maintenance and replacement of standard office supplies.
  4. Greet and assist visitors and district personnel School Leadership & Support Coordinator Office
  5. Maintain confidentiality relating to sensitive student and staff information.
  6. Assist with Office publications such as training materials fliers posters etc.
  7. Receive process and distribute mail.
  8. Create documents and forms as needed to support Office and District
  9. Develop and maintain data bases for Office as needed.
  10. Answer telephones and relay messages to appropriate Office personnel
  11. Respond to correspondence (emails letters telephone calls) regarding Office/District events procedures and personnel.
  12. Assist in organizing and arranging major district events meetings and other year-round trainings/professional development (create session numbers reserve meeting space secure room set-up provide copies handle food orders etc.)
  13. Work with technology to design and update office support media such as websites cloud storage etc.
  14. Perform all other specific duties as assigned.

Equipment Used:

Personal Computer printer copier and fax machine

Working Conditions:

Maintain emotional control under stress with the ability to work in a fast-paced high intensity work environment efficiently and effectively with frequent interruptions. Repetitive hand motions. Moderate lifting required.
