Job Description

SUMMARY

Under the supervision of the Payroll Manager preparation transmission and disbursement of payroll for multiple entities; research of payroll related issues payroll report generation/analysis. Under the direction of the Director of Finance coding input and payment of accounts payable and various functions within the Finance Department.

DUTIES

1. Verify hours and departmental hour/cost distribution in electronic time system (ADP e-time).

2. Communicate with managers regarding discrepancies in e-time and modify as needed.

3.. Assist with transmission from electronic time system to payroll system and audit payroll reports after transmission.

4. Assist employees and managers in learning/working with e-time and payroll related questions maintaining confidentiality at all times.

5. Monitor mileage reimbursement forms for accuracy. Upload mileage forms tuition reimbursement and other employee reimbursements to ADP.

6. Run various reports related to payroll. Transfer reports to Excel format spreadsheets and analyze data as directed.

7. Audit employee new hire/change information entered by Human Resources with payroll system to ensure accuracy. Enter new employees and employees change information in e-time.

8. Code account payable invoices input into accounting software pay invoices as approved research credit memos for incorrect payments for multiple companies of the organization research statements.

9. Using desktop deposit machine upload checks received for the various companies to various banks.

10. Enter checks check number amounts GL account numbers comments for general ledger into Excel spreadsheets to be utilized as journal entries.

11.Enter or upload journal entries for multiple companies of the organization into accounting software.

12.Perform other payroll-related duties as directed.


Training and Experience

High school diploma/GED required.

Two years of job-related payroll bookkeeping or accounting experience preferred.

Proficient and accurate 10 key skills.

Excellent oral and written skills.

Proficiency in Excel.


Knowledge Skills Abilities

1.Demonstrated ability to work in challenging changing environment in a courteous and confidential manner with staff and managers in fast paced environment. This position has a large amount of variety and deadlines.

2. Ability to communicate effectively orally and in writing.

3.Ability and skill to use Excel spreadsheets.

4.Ability to use a computerized payroll system.

5.Must work independently with minimum supervision
