    PAY FOR POSITION: PSE Salary Schedule Level 10 - $ 29.26

    This position responsibilities are to provide secretarial support to the Director of Child Nutrition and the Assistant Director of Child Nutrition. Responsibilities include preparing monthly state meal reimbursement reports correspondence and memos and maintaining a wide variety of reports files records tracking uniform reimbursements for staff and preparing staff time sheets to submit to payroll. Position is an important link between school staff parents students and CN administration.

    ESSENTIAL FUNCTIONS

    1. Depending upon the individual assignment the Secretary to the Director of Child Nutrition may perform all or a combination of the following:

    2. Serves as the Secretary to the Director of Child Nutrition and to the Assistant Director of Child Nutrition. Composes correspondence based on limited instructions or review. Formats and types a wide variety of correspondence memoranda forms reports records and other materials; may take and transcribe dictation; duplicates and distributes materials; screens calls; maintains appointment calendar; schedules meetings; opens screens and routes mail.

    3. Coordinates and prepares state monthly meal reimbursement reports: retrieves meal counts from computer program reviews ECEAP and Headstart meal reports; compiles information from enrollment reports; electronically transmits figures to the Office of the Superintendent of Public Instruction (OSPI).

    4. Reviews Child Nutrition staff and substitute time sheets; indicates proper budget codes and rates of pay; and submits to payroll department. Makes copies and files in staff payroll files. Replies to payroll questions from Child Nutrition staff or payroll department. Records daily absences or extra time on staff annual payroll log sheets. Compares entries to staff monthly time sheets.

    5. Processes monthly procurement card envelopes for Child Nutrition department: reviews on-line report; checks to see all invoices are turned in; indicates budget codes for each purchase. Submits completed envelopes to Business Office.

    6. Coordinates any issues with milk delivery and the dairy.

    7. Maintains department revolving checking account. Processes requests for refunds from students meal account; completes check and mails to parent. Reconciles account monthly; complies documentation for each check written. Enters information in register for each check written; completes monthly replenishment request.

    8. Reviews and processes Child Nutrition Uniform Reimbursement Claims; checks receipts; determines amounts for each receipt; computes Washington State Comp Tax when necessary; submits claims to accounts payable for payment.

    9. Coordinates the operation of the office; greets parents staff students and the public; answers a wide variety of telephone and in-person inquiries; provides a variety of information on procedures operations and schedules; promotes positive public relations for the district.

    10. Provides a variety of office assistance to the director including facilitating new substitute orientations if Supervisor Trainer is not available; explains information regarding dress code and departmental procedures; assists in explaining new forms and procedures.

    11. Maintains a variety of detailed program records such as budgets meal counts requests and administrative records; compiles data and performs calculations; prepares a variety of reports.

    12. Prepares billing information for Special Services and catered events.

    13. Assists in processing purchase orders and may enters data into mainframe computer system.

    14. Assists in entering work orders to coordinate equipment maintenance and repair.

    15. Knowledgeable in processing invoices and able to fill in as needed.

    16. Knowledgeable in kitchen and POS operations and able to assist if needed

    17. Assists in reviewing submitted applications for the district free/reduced-price meal program; assists in approving or denying according to income guidelines and procedures.

    OTHER FUNCTIONS

    18. Assists in answering and transferring telephone calls.

    19. May serve on various district committees and/or departmental work teams. Models appropriate and cooperative behavior including protecting confidential information consistent with district ethical guidelines.

    20. Performs related duties consistent with the scope and intent of the position.


    REPORTING RELATIONSHIPS
    Reports to the Director of Child Nutrition.

    MENTAL DEMANDS
    Requires concentration and attention to detail for repetitive tasks; regularly deals with distraught or difficult individuals.

    PHYSICAL DEMANDS
    Exposed to visual display terminal for prolonged periods; required to sit for prolonged periods; may operate a motor vehicle on public roads; dexterity and precision required in the operation of a computer.

    MINIMUM QUALIFICATIONS

    Education and Experience
    Education training skills and experience necessary to carry out the assignment including three (3) years of increasingly responsible office experience involving records maintenance bookkeeping and customer service.

    Allowable Substitutions
    Advanced training in business or secretarial procedures may substitute for up to two (2) years of the required experience on a year-for-year basis; and such other alternatives to the above qualifications that the district may find appropriate and acceptable.

    Required Knowledge Skills and Abilities

    Ability to communicate effectively with students staff and the public. Effective customer service and public relations skills. Knowledge of secretarial procedures. Knowledge of general bookkeeping and accounting procedures. Ability to maintain spreadsheets. High-level keyboarding and data entry skills. Skills in operating a variety of office machines including 10-key. Ability to operate a computer and learn the operation of specific software. Skill in correct grammar spelling and English usage. Ability to compose and format correspondence. Ability to perform arithmetic calculations. Ability to set up and maintain accurate files and records. Ability to organize and set priorities for work. Ability to maintain confidentiality. Ability to establish and maintain effective working relationships with a diverse group of people.

    Licenses/Special Requirements
    Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation abuse injury or neglect of a minor. Must complete training in and adhere to district infection control plan. Valid Washington state drivers license and a good driving record. Valid WA Food Handlers Card required.
