The Operations Technology Services (OTS) team is looking for an exceptionally driven fast-moving resourceful proactive Executive Assistant to support two directors in our OTS Infra Product & Engineering (OTIE) team. You will be located in Austin Texas.
This Executive Assistant will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives. This role is unique in supporting a Director with a role that works directly with more senior global executives inside and outside our larger organization.
Key job responsibilities
Manage complex calendars prioritize meetings including organizing sessions with internal & external senior leaders
Organize execute and assist with team activities (staff meeting agendas global team meetings off-sites and team social events).
Organize and execute quarterly All-OTS-Austin quarterly team events as part of the OTS EA team.
Complete expense reports proactively.
Coordinate both domestic and international travel.
Track and ensure the completion of key deliverables and follow up on incomplete/overdue items.
Act as a liaison between the team and key stakeholders through clear and concise written and verbal communication.
Handle confidential materials and information with discretion.
Develop and maintain new mechanisms to maximize team efficiency.
High judgment and decision making in an ambiguous environment
Partner closely and proactively with Finance HR Recruiting and EAs throughout the organization especially your peer OTS EA team.

A day in the life
As an Executive Assistant you will work in a team environment build effective working relationships inside and outside of the group while keeping abreast of general business objectives policies standards services facilities procedures and related information in order to maintain a comprehensive awareness of the organization. You will thrive in a fast-paced and growing environment and have exceptional attention to detail.
You will be responsible for a wide range of critical activities including complex calendar management managing travel and expenses organizing team activities and events. Other responsibilities include but are not limited to space planning and ad hoc project coordination. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the organization. Working in a highly ambiguous environment you will demonstrate initiative complete tasks and projects quickly and proactively take action without the total picture. You will learn organizational structures and objectives of the teams you support. Solid written and verbal communication skills combined with confidence in business settings will be key in finding success in this role. The right candidate will have a strong sense of ownership bias for action and be able to work accurately when under pressure to meet tight deadlines.

OTIE teams include: Wireless Engineering; Device Technologies; Continuous Automaton Services; Product Management; UX Design & Research Infrastructure and Cross Cutting Programs; LAN; Fulfillment Edge Networks; OTIE AI and ML. OpsTech Solutions (OTS) provides IT support and technology deployment for Amazons Operations Technology Infrastructure so that Amazon can fulfill its commitment to customers around the world. We ensure network and client devices function for WW Operations including fulfillment centers Amazon Fresh Prime Now Lockers Pantry and Amazon Campus.
We partner with Amazon Fulfillment Technology (AFT) Robotics (AR) Warehouse Control System (AWCS) and Technology Deployment to support Amazons rapid expansion providing equipment and leading technology integrations for acquisitions In addition we drive accuracy and continuous improvement in autonomous decision making at Amazon Robotics sites and support tech deployments.
- Experience as an Executive Assistant
- 5 years of senior level leadership support or 3 years of Amazon experience
- High school or equivalent diploma
- Experience with executive level calendar management
- Experience with Microsoft Office products and applications
- Experience with work space planning/management
- Experience with domestic or international travel coordination
- Experience leading process improvements
- Experience in a fast-paced high-tech company
- Experience designing processes to maximize efficiency
- Experience handling administrative details independently while exercising good judgment in keeping team members adequately informed
- Experience working with large global teams
