Position: Adult Learning Program Specialist
Reports to: Director of Adult Learning

About Us:
The Hudson Maynard Adult Learning Center (HMALC) is committed to providing high-quality inclusive educational opportunities to adult learners. We are seeking a highly organized detail-oriented and proactive Program Specialist to support program operations data management student services and financial tracking.
Position Summary:
The Program Specialist supports day-to-day program activities including database management student enrollment financial monitoring volunteer coordination and event support. This position plays a key role in maintaining accurate records supporting staff and students and ensuring the smooth operation of administrative and instructional functions.
Key Responsibilities:
- Maintain and manage the student database ensuring timely and accurate entry of attendance test scores and enrollment data.
- Generate reports to provide insights into student progress enrollment trends and the effectiveness of enrollment strategies.
- Process all supply orders and maintain inventory ensuring cost-effective purchasing and accurate recordkeeping.
- Monitor expenditures to ensure alignment with the approved budget; maintain detailed code-based spreadsheets to accurately track all purchases.
- Process staff timesheets special pay forms and maintain accurate payroll documentation.
- Assist with student registration intake forms testing sessions and orientation.
- Coordinate and support volunteer activities to enhance student engagement and program reach.
- Provide administrative support to the Program Director instructional staff and team members.
- Maintain and organize digital and physical files; draft and update program materials such as recruitment flyers student handbooks and internal documents to support program operations
- Coordinate with vendors and manage subscriptions to ensure uninterrupted services.
- Maintain and update the programs website and social media accounts (e.g. Facebook Instagram LinkedIn).
- Troubleshoot basic tech issues and assist with the delivery and collection of student Chromebooks.
- Take minutes at meetings and support the scheduling of events and appointments.
- Assist with graduation preparation and celebrations.
- Assist with closing out year-end student data and preparing class setup for the following year.
- Perform special projects and compile analyze and review data as requested by the Program Director.
- Ensure confidentiality of all student and staff records.
Minimum Qualifications:
- At least three years of full-time (or equivalent part-time) experience in office management administration business or related field.
- Budget and accounting experience preferred; familiarity with general accounting practices and financial management.
- Experience with municipal systems and working with the public is strongly preferred; familiarity with Tyler/MUNIS is a plus.
- Strong proficiency in Google Suite and Microsoft Office (Excel Word)
- Experience with LACES/LiteracyPro is preferred; candidates must be able to attend training within 30 days of hire.

- Working knowledge of office procedures bookkeeping and departmental operations.
- Strong arithmetic and data analysis skills.
Schedule:
This is a 10-month position Monday through Thursday 7 hours 12:00-7:30 pm (inclusive of an unpaid lunch break). Occasional evening hours (until 9:00 pm) are required during registration periods and for special events. Professional development hours are required as part of ongoing training and growth expectations.
