At Elsewhere Entertainment were building something ambitious a new franchise rooted in rich storytelling set in an expansive open world. With studios in Malm Warsaw and Los Angeles were growing fast and building a team of passionate world-class developers to bring our vision to life.

Were looking for a highly organized proactive Operation Specialist to join our Malm studio. This is a key role in keeping our studio running smoothly and supporting the team through a wide variety of operational and administrative tasks. Youll play an essential part in building and maintaining a welcoming efficient and creative working environment as our studio continues to grow.

Key Responsibilities:

  • Studio Operations:

    • Manage and maintain seating plans and coordinate internal team moves within the Malm studio.

    • Oversee office furniture and equipment needs ensuring a comfortable and productive workspace.

    • Collaborate on office and real estate matters including coordination of maintenance vendors and office improvements.

  • New Hire Onboarding:

    • Support the onboarding process for new team members including workspace setup equipment coordination welcome kits and studio tours.

    • Liaise with global counterparts to ensure consistent onboarding experience across studios.

  • Executive & Administrative Support:

    • Assist with travel arrangements meeting scheduling and expense reporting for studio leadership.

    • Take detailed notes during internal meetings and help ensure follow-ups are actioned.

  • Event & Culture Support:

    • Help plan and coordinate studio events and team-building activities.

    • Create and manage budgets related to studio events and internal operations.

  • Logistics & Procurement:

    • Handle internal procurement-to-pay processes including vendor coordination purchasing and tracking of studio supplies.

    • Manage sending and receiving goods at the Malm studio.

  • Food & Beverage Coordination:

    • Oversee all food and beverage needs in the studio in line with company policies.

    • Responsible for planning purchasing setup and ongoing management of snacks drinks and catering for events or meetings.

Who You Are:

  • Highly organized with excellent attention to detail.

  • A proactive problem-solver who enjoys making things run smoothly behind the scenes.

  • Strong communicator in both written and verbal formats (English is our working language).

  • Able to juggle multiple tasks and priorities in a dynamic growing studio environment.

  • Comfortable working independently while also collaborating with team members across time zones.

Nice-to-Haves:

  • Previous experience in a games studio or creative industry environment.

  • Familiarity with travel booking platforms expense tools and procurement systems.

  • Swedish language skills are a plus but not required.
