We are looking for a Part-Time Administrative Assistant to provide personalized administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the executives working life and communication.

This role is part-time 20 - 25 hours a week with a flexible schedule. Compensation: $22.00 - $30.00 per hour depending on experience.

Responsibilities

  • Manage coordinate and maintain up-to-date and accurate executive calendar including and monitoring of key dates / deliverables and accountabilities.
  • Execute all general administrative duties (e.g. business travel expense submission email monitoring) in seamless fashion with a high-level of discretion and confidentiality.
  • Plan and coordinate key executive and department events.
  • Creates and develops executive-level materials documents presentations and projects
  • Provide an exceptional service experience through quality of work and positive communication with all external stakeholders.
  • Build and maintain relationships with internal and external stakeholders to ensure efficiency of processes.
  • Engages with internal business departments and staff representing the executive team and ensuring clear and concise communication.
  • Maintain diary arrange meetings and appointments and provide reminders
  • Handle and prioritize confidential requests and queries appropriately

Qualifications

  • Proven experience as an Administrative Assistant other secretarial position
  • Full comprehension of procedures and management of sensitive and confidential information on an executive level
  • Excellent knowledge and proficiency of Microsoft Office Suite including Outlook SharePoint PowerPoint Word and Excel
  • Proficiency in English
  • Exemplary planning time management organizational and interpersonal skills
  • Ability to perform and manage multiple assignments with accuracy and effectiveness
  • Successfully deal with unexpected events and moves constructively toward improvement
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • High School degree: additional qualification as personal assistant would be considered an advantage.
