Job Description

We are seeking an experienced Executive Assistant to provide support to three senior Directors in our Sau Paulo office. This is an exciting opportunity for a tenured professional to thrive in this very senior position partnering with our senior leadership as an integral member of the team.

The key elements of the role are:

  • Dealing with incoming communication and correspondence on behalf of the board members
  • Complex diary management including across different time zones
  • Engaging at a senior level in the industry (C suite level)
  • Managing internal and external meetings arrangements including organizing meetings note taking and minutes and follow up actions arising
  • Internal and external communications content and publication on a number of media channels
  • Managing internal systems and databases including the production of reports
  • Production of high-quality graphical board reports
  • Producing high quality documents in standard Microsoft suite
  • Managing Teams channels and content
  • Travel arrangements
  • Managing expenses and time sheets
  • Additional duties include but are not limited to:
  • Having a presence in the office welcoming new joiners and visitors
  • Supporting with admin duties over periods of annual leave

Qualifications :

Essential skills:

  • Excellent written and verbal communication skills fluent in Portuguese and English
  • Excels in building relationships and working collaboratively within the team
  • Proficient in Microsoft Office and experienced in providing support to others
  • Experience of minute taking and organising Board meetings
  • Excellent organisation skills and ability to prioritise with a strong commercial focus
  • Ability to work under pressure and to tight deadlines
  • Experience in complex diary management liaising with clients and dealing with confidential material
  • Proactively manage information on behalf of the Executives

Desirable skills:

  • Proven Executive Assistant experience at Executive Board level
  • Project Management experience
  • An interest in the industry
