Founded in 1924 the Oregon Institute of Marine Biology (OIMB) is the third oldest marine laboratory on the Pacific Coast. The 130-acre campus located about two hours from Eugene maintains housing teaching and research facilities for University of Oregon students and faculty as well as visiting investigators and students from other institutions. Resident faculty are members of the Department of Biology and conduct research on the development ecology evolution and physiology of marine organisms worldwide from the intertidal zone to the deep sea.
The Operations Manager (OM) manages the business operations of OIMB providing both academic and administrative functions to ensure the smooth operations of the research and teaching missions. The OM leads a team to ensure excellent customer service and smooth processes for the faculty staff students and visitors.
Reporting to the Associate Director (AD) of Academic Support Unit 6 (ASU 6) in the College of Arts & Sciences the OM works closely and collaborates with the AD of the ASU and supervises staff to implement and manage the faculty-facing business functions and office operations of the Institute including faculty-related process management academic employee support facilities operations and space management and general administrative support including reception and responding to inquiries. Support will include understanding interpreting and applying processes and procedures to assist with the needs of faculty and staff assisting with logistics and administration and other administrative operations functions.
The OM will provide training and compliance oversight on business operations functions throughout OIMB. This position is responsible for developing recommendations and analytic tools for leadership to utilize and aid in decision-making for OIMB. This position is also responsible for a broad set of assignments which regularly requires the ability to exercise independent judgment while executing the priorities identified independently and by leadership.
Four years of experience providing administrative support to a department program or other organization.
Supervisory or lead work experience.
Highly efficient and organized approach to work with strong attention to detail and thoroughness.
Ability to manage multiple tasks utilizing exceptional time management skills; ability to balance work on multiple projects simultaneously.
Proficiency in Microsoft Office suite or equivalent electronic tools.
Excellent interpersonal skills and the ability to handle sensitive and confidential situations appropriately.
Ability to efficiently manage processes and actions to completion while adhering to timelines and with minimal oversight and direction.
Excellent customer service skills.
Effective communication skills including the ability to draft clear respectful emails procedures and other documents.
Ability to develop and maintain strong working relationships and collaborations.
Commitment to working with faculty staff and students from diverse backgrounds in an inclusive welcoming environment; ability to effectively work and communicate with individuals from varied cultural backgrounds.
Knowledge of human resource management principles practices policies laws and regulations.
Work experience in higher education government nonprofit or other public sector administration.
