Description

Project Services LLC part of the ATS Family of Companies provides expert Project Management Contract Management Scheduling and Planning services for industrial facilities. We support everything from routine outages to complex plant expansions with specialized experience in boilers turbines paper machines and more. At Project Services we are dedicated to helping clients maximize the value of their plant outages with strategic planning and expert execution.

Project Services LLC is looking for a proactive and highly organized Administrative Assistant to join our team. Based at our corporate office in Marietta GA this full-time role (40 hours/week) is ideal for someone who thrives in a fast-paced environment and enjoys handling a variety of administrative and operational responsibilities. This position plays a critical role in supporting office management billing and invoicing scheduling and client coordination.

Responsibilities:

  • Provide comprehensive administrative and office management support to ensure smooth daily operations in a fast-paced office environment.
  • Support key financial processes including billing invoicing accounts payable and accounts receivable in coordination with internal finance teams.
  • Prepare quotes and schedule on-site services in a timely and accurate manner.
  • Interpret and process customer purchase orders in accordance with company policies.
  • Serve as a primary point of contact for customer inquiries ensuring professional and timely communication.
  • Maintain accurate records reports and filing systems; organize and archive documentation in compliance with company standards.
  • Collaborate with other ATS locations to coordinate documentation and work processes.
  • Arrange and manage all aspects of travel logistics for personnel including airfare accommodations and rental vehicles.
  • Perform additional administrative duties and special projects as assigned by management.

Qualifications

Required Experience and Skills:

  • Proficiency in Microsoft Office Suite (Word Excel Outlook); experience with database systems strongly preferred.
  • Demonstrated ability to handle sensitive financial and client information with confidentiality and accuracy.
  • Strong written and verbal communication skills; ability to communicate clearly with both internal stakeholders and external clients.
  • Exceptional attention to detail with a high level of accuracy in all work performed.
  • Proven ability to manage multiple tasks simultaneously and prioritize workload effectively in a dynamic environment.
  • Self-starter with the ability to work independently as well as part of a team.
  • Experience using standard office equipment (e.g. printers scanners fax machines).
  • Prior customer service or client-facing experience is highly desirable.
  • High school diploma or equivalent required; associate or bachelors degree preferred.
