Profile Requirements:

  • 3 years experience as an Executive Assistant Virtual Assistant or similar role
  • Exceptional written and verbal communication skills
  • High-level proficiency in Microsoft Office Suite Google Workspace and remote collaboration tools
  • Excellent time management problem-solving and attention to detail
  • Proven ability to handle confidential information with discretion

Core responsibilities:

  • Manage and maintain executive calendars including scheduling meetings calls and appointments across time zones
  • Coordinate internal and external meetings including agenda preparation minutes and follow-ups
  • Prepare professional emails reports presentations and correspondence on behalf of the executive
  • Screen and prioritise incoming communications (email messages calls) flagging urgent issues and drafting responses where appropriate
  • Book and manage travel arrangements accommodation and itineraries
  • Maintain and organise digital filing systems and shared drives
  • Conduct research compile briefing notes and assist with market or competitor insights
  • Support HR admin functions such as onboarding document management and meeting coordination
  • Update and maintain CRM systems databases and spreadsheets
  • Assist with basic social media posting inbox management and content scheduling (optional)
