Purpose of the Job

Provide support and assistance to the Managers and collaborate with the Administrators. This will involve the payment process including call backs for setting of suppliers and effecting payments for clients invoices or their fund transfers in collaboration with the front office administration team to take responsibility for the filing and post payment control aspects of the payment process.

Main Responsibilities

  • Processing and reviewing of payments by working closely with the administration team.
  • Take responsibility for allocated tasks and working closely with the Administrator and Assistant Administrator.
  • Preparing and reviewing Ad-hoc & regular payment runs using various online banking systems.
  • Review & completing Call backs in line with procedures.
  • Review Supplier details on eFront as required.
  • Adhering to the deadlines set for preparing and effecting payments.
  • Collating the payment packs together with backup for checking and sign off.
  • Ensure workflows on eFront are effected efficiently and timely .
  • Ensure overall quality and accuracy of payment processing to required standards at all times.
  • Liaise with clients to ensure efficient delivery of output and client service expectations.
  • Effecting post payments control as required to ensure payments have been properly effected.
  • Answering queries raised in connection with payments.
  • Carry out any additional support activities as reasonably required across the team or by the Management team or Directors from time to time.
  • Cross -Review the work of provide guidance and constructive feedback to peers
  • Support seniors in the handling and proper keeping of KPIs for the process including quality control logs.
  • Communicate effectively with the Client Administration team to ensure they are aware of any issues that may impact on the deadlines and expectations in terms of timing
  • Monitor control and balance the workload of the team during absences of Senior team members
  • Be aware of risk exposure and promptly escalate issues arising to other members of the Management team
  • Be cross-trained on specific other processes to support Client Administration team when capacity permits or circumstances require on appropriate tasks

Qualifications :

 

Knowledge Skills and Experience

  • University degree in Business and Finance or any other relevant field.
  • At ease with the use of technology necessary for conducting board meetings.
  • Microsoft Office Proficiency (Intermediate level).
  • Having a minimum of 4 years of working experience.
  • Competencies

  • Payment Processing.
  • Excellent interpersonal skills and the ability to communicate effectively with clients and colleagues at all levels. 
  • Flexibility energy and enthusiasm. 
  • Ability to work under pressure and meet deadlines.
