Work Hours (Client) : 6:00 AM - 2:00 PM CST (Central Standard Time)

Pay Range : $1000 - $1500 USD/month

Company/Client Overview:
We are a home care agency franchise dedicated to providing high-quality care services. As we scale our operations we are seeking a detail-oriented and proactive Virtual Assistant to support our recruitment and scheduling processes. The ideal candidate will help streamline our hiring workflow ensuring a steady pipeline of qualified caregivers while minimizing administrative bottlenecks.
Duties and Responsibilities:
Scheduling Support:
- Monitor and manage a high volume of scheduling changes within our CRM system.
- Ensure employees arrive on time for their scheduled shifts. If someone is running late inform the client of the updated arrival time.
- Answer phone calls from caregivers (employees) address their questions and escalate issues to the Operations Manager when necessary.
- Fill open shifts by matching the best-fit caregiver for each client based on experience location and other factors. Coordinate with the Operations Manager on staffing needs.
- Coordinate with caregivers and the Operations Manager to ensure proper staffing coverage.
- Find last-minute shift replacements when employees call off.
- Maintain strong attention to detail and develop a clear understanding of our clients and employees to ensure high-quality service.
Minimum Requirements:
Required Qualifications:
- Prior experience as a Virtual Assistant Receptionist Scheduling Coordinator or similar administrative role.
- Strong communication skills both written and verbal with the ability to interact effectively across different time zones and cultures.
- Familiarity with scheduling CRMs.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Ability to work independently and escalate issues when needed.
- 5 years of experience in customer service scheduling or a related field.
- Proficiency in English
- Strong organizational skills and attention to detail.
Preferred Skills:
- Experience in the home care healthcare or service-based industries.
- Knowledge of social media management and basic SEO strategies.
- Tech-savvy with the ability to quickly learn and navigate new tools and systems.
