Position Number:102270Position Title (Classification Title):Office Administrator 102270Working Title:Office AdministratorJob Summary:Manage the office operations for the Controllers Office. This includes but is not limited to managing financial and banking records purchasing travel accounting and human resources matters. Serve as liaison with other university departments and external agencies regarding purchasing financial and banking records accounting and human resources matters. Initiate and process paperwork including but not limited to travel requests and reimbursements purchase orders p-card purchases duplication requests and budget requests/transfers. Manage and maintain the Controllers Office property including inventory transfers and surplus activity. Participate in various projects relating to marketing recruiting retention and special events. Maintains tickler file to assist Controllers Office staff with periodic deadlines. Respect the confidentiality of data included in the above duties.DepartmentControllers OfficeFLSA:Non-ExemptMinimum Qualifications:A high school diploma and four years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.Position Qualifications:Competency with computers. Competency with software such as MS Word MS Excel Adobe and the ability to quickly learn new packages. Competency with basic accounting principles. Understanding of university and departmental policies and procedures.Preferred QualificationsProficiency with MS Word and MS Excel. The ability to quickly learn new software packages. Experience in maintaining budgets or financial records. Relevant experience in an administrative position customer service experience. Proven record of effectively dealing with dissatisfied or disgruntled customers in a high demand setting.Essential Functions / Job Duties:
  • 30% - Perform frontline customer service telephone reception and schedule appointments. Responsible for office supply inventory and the ordering of such resources distributing the Controllers Office mail shredding of confidential materials as appropriate and running errands. Interact with employees and students and participate in efforts to automate systems and eliminate paper forms. Respect the confidentiality of data included in the above duties. - (Essential)
  • 10% - Maintain the Controllers Office website and secure desktop support for the Controllers Office Maintain an intermediate level of knowledge of Microsoft Office products including Word Excel and PowerPoint and assist office staff with their use. Maintain the Controllers Office organizational chart. Respect the confidentiality of data included in the above duties. - (Essential)
  • 15% - Assists in the maintenance of university banking relationships as needed. Performs banking functions in the online banking system as assigned. - (Essential)
  • 25% - Manage the office operations for the Controllers Office. This includes but is not limited to managing financial and banking records purchasing travel accounting and human resources matters. Serve as liaison with other university departments and external agencies regarding purchasing financial and banking records accounting and human resources matters. Initiate and process paperwork including but not limited to travel requests and reimbursements purchase orders p-card purchases duplication requests and budget requests/transfers.
