As our Administrative Assistant you will provide support and assistance to Biofilm leadership that ensure effective use of time and productive interactions with staff and the public. Handles a wide range of administrative and executive support-related tasks involving the clerical administrative function research and management roles. Responsible for schedule management office management communication liaison information preparation company records management data analysis and representing the executive to others. Handles confidential information and communications. Full comprehension of companys operation and procedures. Uses discretion and judgement and knowledge of organization to facilitate the executives activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Maintain cooperative diplomatic working relationships with co-workers supervisor and the public.
Work as part of the team and collaborate with co-workers and colleagues.
Responsible for reading understanding and following all Manufacturing Instructions (MIs) or Work Instructions (WIs) for each function performed.
Responsible for working in compliance with Quality System Regulations (QSR) safety and all other training.
Duties / Responsibilities
Welcomes and directs visitors and clients.
Maintains paper & electronic filing systems as assigned.
Retrieves information as requested from records email minutes and other related documents; prepares written summaries of data when needed.
Responds to and resolves administrative inquiries and questions.
Coordinates and schedules meetings and appointments for Directors and Managers.
Prepares agendas and schedules for meetings.
Develops and updates power points (needs to be expert level)
Records and creates minutes for meetings as requested
Performs other related duties as assigned.
Develops and maintains spreadsheets for tracking sales rocks and other items as directed (needs to be expert in excel)
Emails on behalf of Directors and Managers as required
Update TEAMs channels
Provides follow-up emails for project management deadlines
Human Resource
Assist with Employee Event Planning
Creates and sends out All Staff communication on behalf of the HR Department
Assist with HR Invoices / Expense reports as needed.
Recruiting and Onboarding support help schedule and coordinate new hire orientation required meetings scheduling of interviews and other HR related meetings
Assist with Electronic HR file audits to verify all documentation is present and signed for. (I9 NDAs etc)
Review and forward emails as they come in.
Assist with HR events open enrollment holiday parties new product launch etc.
Misc. HR Administrative duties
Safety
Responsible for maintaining a clean and safe work environment by identifying all safety hazards and recommending corrective actions when necessary.
Responsible for utilizing proper lifting and material movement techniques at all times.
Maintains a safe work environment through safety training for employees identifying hazards in the workplace and correcting them and providing discipline when necessary for violation of Company safety rules.

Wear PPE as required for the area
Pay attention to work process your surroundings and co-workers to flag any unsafe conditions or behavior

Monitor product quality and flag any defects immediately to supervisor
Identify and report potential regulatory compliance issues (lack of cGMP conditions quality system non-compliance etc)
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
ASSOCIATES DEGREE PREFERRED; BACHELORS DEGREE IN BUSINESS ADMINISTRATION OR RELATED FIELD PREFERRED
THREE TO FIVE YEARS OF EXPERIENCE IN AN ADMINISTRATIVE ROLE.
ADVANCED IN MICROSOFT OFFICE SUITE OR RELATED SOFTWARE.
EXCELLENT IN MICROSOFT TEAM
PROFICIENT IN EXCEL WORD POWERPOINT AND OUTLOOK.
PROVEN ABILITY TO HANDLE MULTIPLE PROJECTS SIMULTANEOUSLY
ABILITY TO READ AND ANALYZE FINANCIAL REPORTS
ERP EXPERIENCE REQUIRED NAVISION EXPERIENCE PREFERRED. ORACLE EXPERIENCE HIGHLY PREFERRED.
