The Human Resources Specialist is an entry-level position that will process the day-to-day tasks of the KIPP Texas Human Resources Office including data entry onboarding benefits enrollment and other HR duties as requested. The Human Resources Specialist provides exceptional support and customer service to employees and applicants throughout the state.
Key Responsibilities
Provide HR Support to employees
- First point of contact for all HR Policy related issues
- Answer questions and assist with problem resolution for employees and managers via email phone and Zendesk
- Answer employment verification requests in a timely manner
- Provide grievance ADA & exit interviews as needed
- Assist employees with ADP including password resets registration help benefits enrollment etc.
Coordinate the new hire process for KIPP Texas employees and serve as liaison to new hires during onboarding process
- Generate and send offer letters and new hire paperwork
- Confirm salary with Director of Compensation when necessary
- Process background checks and I9 forms
- Enter employee data into HRIS system (ADP)
- Coordinate with IT support for KIPP Share ID and email as needed
- Communicate with new hire and hiring manager regarding eligibility to begin work
Process transfers and termination/resignations throughout KIPP Texas
- Generate and send offer letters for employee job changes including title and pay changes
- Ensure appropriate documentation is received for each employee change
Maintain accurate records and data in ADP
- Process manager and Cornerstone manager updates in ADP
- Ensures the highest level of accuracy for data entered into ADP
- Preserve the confidentiality of sensitive employee information
- Enter bereavement and military leave as needed
Ensure accuracy of employee files
- Add identifying information to onboarding documents in order for files to be created and documents filed.
- Request and ensure receipt of appropriate documentation for dependent benefit adds service records transcripts etc. File in Laserfiche upon receipt.
- File documents such as transcripts service records benefits information etc. in electronic employee files as they are received.
Maintain Federal and State Compliance in the HR Department
- Provide information to new hires on the process for fingerprinting prior to their start date to ensure the safety of KIPP Texas students and employees
- Maintain confidential accurate and complete files for all KIPP Texas employees
- Compile pertinent data as needed when preparing various federal state and local reports
- Ensure compliance with highly qualified regulations from The Department of Education and Texas Education Agency
Maintain accurate records for Teacher certification
- Enter and track certification information in ADP
- Confirm position qualification requirements as required
Process Workers Compensation Claims
- Report injuries to Workers Compensation insurance carrier
- Work with managers to temporarily adjust job responsibilities as needed to meet restrictions whenever possible
- Track all workers compensation claims in ADP
- Process Bona Fide Offer Letters as necessary
Responsible for managing all leaves not covered by the Family and Medical Leave Act
- Act as the first point of contact for all non-FMLA leaves
- Ensure employees have required documentation and return to HR in a timely manner
- Work with supervisor to determine the appropriate amount of approved leave
- Communicate with School Leaders before after and throughout leave regarding status
- Connect with Payroll on unpaid leave for unpaid leave calculations.
Own at least one of the following tasks:
- Partner with the Payroll team each pay period on leave corrections and correct assignment of PTO for staff statewide
- Process driving record screenings as needed based on screening policy and manage approval process in partnership with the Finance Team for any statewide staff members requested. Process driver screening invoice in a timely manner on a monthly basis
- Update volunteer background tracker on a weekly basis ensuring approved volunteers pass the KIPP Texas background policy
- Process check requests for benefit invoices timely on a monthly basis
- Partner with KTX Compliance team on various periodic audits pulling required documentation for salary confirmation qualifications etc. for up to 150 employees per audit.
Qualifications :
- Bachelors degree from an accredited institution or equivalent experience
- English/Spanish bilingual preferred
- Experience with data entry and use of an HRIS system like ADP PeopleSoft SAP or equivalent software preferred
- Effective communication and interpersonal skills
- Excellent attention to detail and a high level of accuracy required
- Excellent organizational skills required
- Articulate professional demeanor with strong self-confidence and initiative
- Ability to work well with all levels of the organization and with external contacts
- Ability to perform under immense pressure and manage multiple priorities
- Ability to interpret and disseminate information to individuals and groups
- Understanding and belief that Human Resources is a service role within the organization
- Strong typing skills are required
- Proficiency in Microsoft Office applications (Word Excel Outlook and PowerPoint)
- Proficiency using computers printers copy machines and fax machines

The salary for this position is $50000.
