Job Description

POSITION NUMBER: A1302F Scholarships Coordinator

POSITION SUMMARY

Manages and maintains the Blackbaud Award Management (BBAM) system and institutional/external scholarships. Coordinates with external departments to authorize award nominations based on financial need enrollment and other requirements including academic departments athletics the Advancement office the cashiers external foundations etc. Consults with students on scholarship eligibility and requirements and ensures that students and parents understand federal and institutional regulations pertaining to scholarships.

JOB RESPONSIBILITIES

Professionally and efficiently execute Cameron Universitys commitment to student success.

Understands and applies Title IV Oklahoma State Regents for Higher Education Tribal Higher Education and other related policies as they relate to student scholarships.

Maintains knowledge of policies of other departments (Admissions Registrar Business Office Human Resources Athletics etc.) and understands the impact on a students financial aid eligibility.

Maintains proficiency with Banner and the BBAM systems and collaborates with the Information Systems Specialist and departments concerning updates as necessary.

Serves on the BBAM committee and supports strategic initiatives for university scholarships and waivers.

Develops implements and maintains a Processes and Procedures manual for scholarship-specific duties institutional and federal regulations and collaborates with the Information Systems Specialist on a BBAM system manual.

Receives and disseminates memos concerning new scholarships or changes appropriately.

Collaborates with Business Office to create and maintain fund codes as necessary.

Posts internal and external scholarships and waivers to student accounts in a timely manner.

Adjusts budgets within regulation as necessary to ensure students receive all aid allowed and keeps strict records for audit purposes.

Collaborates with other staff members to ensure students are not over-awarded.

Runs and reviews miscellaneous reports necessary for daily operations and disbursement to ensure scholarship requirements are met and adjusting amounts as necessary collaborating with ITS when updates and new reports are necessary.

Collaborates with Information Systems Specialist to create more efficient processes.

Collaborates with Financial Assistance Services staff as necessary on scholarship needs analyses.

Consults with students and parents pertaining to financial literacy and planning to ensure they are well informed and able to meet financial responsibilities.

Trained in and has the ability to fill in for workshops orientation sessions etc.

Maintain student confidentiality in accordance with FERPA regulations.

Participates in staff development programming campus functions and serves on University committees.

Acts as liaison between faculty/staff students and the public to provide information and resources regarding scholarship activities and programs.

Act as the primary point of contact for telephone and electronic inquiries from students parents university partners and stakeholders providing timely and relevant information on scholarship opportunities application procedures and deadlines.

Monitors student academic progress to evaluate continued scholarship eligibility; chairs a committee that approves or denies student petitions for special conditions or policy appeals.

Creates outreach materials for the promotion of all scholarship programs; may maintain the Scholarship web pages including scholarship applications.

Ability to handle multiple tasks and prioritize effectively.

Ability to work independently and collaborate within a team environment.

Other duties as assigned.

Required Skills/Abilities

Strong interpersonal skills creative problem-solving skills and demonstrated skill in oral and written communication.

Ability to work and communicate effectively and respectfully with diverse populations.

Ability to establish and maintain effective work relations with students faculty staff and the public.

MINIMUM QUALIFICATIONS

An earned bachelors degree.

Minimum of one to two years responsible employment with sufficient experience to understand the basic principles relevant to the major duties of the position.

Demonstrated commitment to student success and excellent customer service skills.

PREFERRED QUALIFICATIONS

Experience working with diverse and varied student populations including low socioeconomic (SES) first generation and other groups traditionally underrepresented in higher education.

Two or more years of directly related experience with Oracle and Ellucian (Banner) systems in an institution of higher education in financial assistance.

Proficiency in Microsoft Office.

SALARY RANGE: $30500 annually including benefits.
