Job Description

We are currently in search of a Chief of Staff and Sr. Vice President of Executive Operations to join our Executive team! The Chief of Staff and Sr. Vice President of Executive Operations plays a pivotal role in supporting the CEO and executive team ensuring efficient operations strategic alignment and effective execution of key initiatives across the organization. This position requires a highly organized proactive and strategic thinker who can manage multiple priorities drive key global strategy projects and facilitate communication between the executive team and various internal and external stakeholders including the Board of Directors donors volunteers and media at the direction of the CEO. The Chief of Staff and Sr. Vice President of Executive Operations will oversee the administration of key elements of Feed the Childrens global strategic plans lead special strategic projects and provide high-level operational support to the CEO and executive team. By offering strong leadership skills excellent communication abilities and a keen eye for detail this position will ensure the smooth functioning of the executive office through collaboration and teamwork that contributes to the organizations overall success. This position will report directly to the CEO.

NOTE: This position will be working onsite at our corporate office in Oklahoma City OK.

Job Requirements:

Education

Bachelors degree in business administration management or related field required. MBA preferred.

Experience

7 years of experience in executive operations project management or related roles.

Proven ability to lead and inspire teams fostering a collaborative empowering and high-performance environment.

Exceptional verbal and written communication skills with the ability to visualize and articulate complex ideas clearly and effectively.

Excellent organizational skills with the ability to manage multiple priorities and tasks simultaneously.

Strong project management skills including planning executing and monitoring projects to ensure timely and successful completion.

Ability to innovate visualize and think strategically and develop long-term plans that drive organizational goals.

Proficient in data analysis and interpretation with the ability to derive actionable insights from complex data sets

Strong problem-solving and analytical skills with the ability to identify issues develop solutions and implement process improvements.

Strong experience with budget management financial planning and cost control.

Familiarity with dashboard development tools and software as well as proficiency in Microsoft Office Suite and other relevant software.

Any combination of education training and experience which provides the required knowledge skills and abilities to perform the essential functions of this job may be considered.

Essential Functions:

  • Strategic Plan Administration:
    • Collaborate with the CEO and executive team to develop the organizations multi-year global strategic plans and ensure business decisions and strategies are in continual alignment with the organizations vision and goals.
    • Conduct market research and analysis to inform strategic decisions.
    • Develop and monitor key performance indicators (KPIs) to track progress against strategic plans and objectives.
    • Facilitate strategic planning sessions and quarterly business reviews to ensure alignment and achievement of strategic objectives across departments.
  • Operational Management:
    • Partner with key stakeholders to oversee the continuous improvement implementation and training of operational policies and procedures.
    • Monitor identify and mitigate risks to the organization.
    • Monitor operational performance identify areas for improvement and partner with department heads to make recommendations that optimize organizational success and effectiveness.
  • Special Projects:
    • Lead cross-functional strategic project teams to drive innovation and achieve organizational goals.
    • Develop comprehensive business and project plans timelines and budgets for strategic initiatives as directed by the CEO.
    • Monitor project progress and proactively address any issues or delays to meet strategic initiative deliverables.
    • Ensure projects are completed on time within scope and within budget.
  • Data Analysis:
    • Collect and analyze internal and external data to support strategic decision-making; identify trends and insights impacting the organization and provide recommendations based on data findings to drive innovation risk mitigation and achieve the organizations vision and strategic plan objectives.
    • Design and develop organizational dashboards to visualize key metrics and performance indicators.
    • Collaborate with various departments to gather data and ensure accurate representation in dashboards; maintain and update dashboards regularly to reflect current data and insights.
  • Executive Support:
    • Prepare briefing materials presentations and reports as directed by the CEO for the CEO and executive team.
    • Monitor industry and other trends that will impact and influence the business and organization; report on regular cadence to CEO and executive team and make recommendations on actions to drive innovation and achievement of the organizations strategic plan.
    • Assist in the development and management of the CEO/Executive Office budget; monitor expenditures and ensure adherence to budgetary guidelines.
    • Handle confidential information with a high degree of discretion and professionalism.
  • Strategic Communications and Stakeholder Engagement:
    • Serve as key liaison with the Board of Directors donors volunteers media and other key stakeholders as directed by the CEO.
    • Draft and review strategic communications on behalf of the CEO; support on-going cadence of executive internal communications to foster culture of transparency trust and empowerment.
    • Facilitate effective communication and meeting efficiency within the executive team and across the organization including standing executive meetings and key planning sessions.
    • Partner with Resource Development and other stakeholders to support CEO in donor briefings stewardship cultivation and communication outreach efforts.
    • Coordinate and prepare materials for Board meetings including meeting planning communications reports presentations and follow-up.
    • Partner with stakeholders to produce quarterly town hall staff meetings and key strategic forums.
  • Team Leadership:
    • Identify training and development opportunities for staff.
  • Foster a collaborative and high-performance team environment.

Carries out supervisory responsibility in accordance with policies procedures and applicable laws including: training in job skills; planning assigning and directing work; appraising performance; addressing complaints and resolving problems.

Establish an environment of high performance and continuous improvement that values learning a commitment to quality welcomes and encourages collaboration and fosters both intra and inter-departmental dialogue and respect.

Model the type and level of behavior professionalism and personal leadership that is in accordance with the values of the organization.
