Founded in 1960 Berkeley Preparatory School is an independent co-educational Episcopal affiliated college preparatory school with a current enrollment of 1400 students in grades Pre-K through 12. Stewardship and Events Coordinator:
Berkeley Preparatory School is seeking a dynamic and detail-oriented Stewardship and Events Coordinator to join our Advancement team. This full-time benefits-eligible position plays a vital role in planning coordinating and executing a wide range of events that support the schools mission and strengthen engagement with alumni parents faculty and friends of Berkeley. The Coordinator is responsible for event logistics budget oversight communications and post-event follow-up and reports directly to the Associate Director of Institutional Advancement. We are looking for a strategic planner and creative thinker who thrives in a fast-paced team-oriented environment and demonstrates exceptional organizational and interpersonal skills.
Primary Responsibilities
Event Planning and Execution
  • Serve as the lead planner and primary point of contact for all Advancement events including but not limited to:
  • Lifetime Giving Society celebrations
  • Society for Excellence events
  • Tailgates
  • New Parent gatherings
  • Faculty/Staff functions
  • Collaborate with the Director of Alumni Engagement on alumni events both on- and off-campus such as:
  • Reunion Weekend
  • Hall of Fame
  • Alumni Awards
  • Regional receptions
  • Lectures and panels
  • Legacy Event at Baccalaureate
  • Manage comprehensive event logistics including scheduling communications budgeting materials briefings nametags gifts and follow-up.
  • Support broader school-wide events such as Grandparents Day and Buc Bash.
  • Coordinate with external vendors for contracts catering A/V equipment rentals and other event services.
  • Accurately track and code event attendance in Raisers Edge.
  • Maintain up-to-date event information on the school website and calendars.
  • Monitor attendee engagement post-event recommend improvements and facilitate feedback sessions.
  • Support stewardship plans for major gift and annual giving societies through tailored recognition communications and events.
  • Work closely with Advancement leadership to identify opportunities and trends to enhance the events program and deepen stakeholder engagement.
Stewardship and Administrative Support
  • Create and manage invitation and RSVP lists using Raisers Edge.
  • Support a collegial and collaborative office culture.
  • Perform other duties as assigned.
Qualifications & Competencies
Required:
  • Bachelors Degree
  • Minimum of three years of experience in special event planning; preference for experience with high-profile events in a corporate school or university setting
  • Proficiency in Microsoft Office Suite (Excel Word PowerPoint) and Google Workspace
  • Strong written and verbal communication skills
  • Exceptional attention to detail and organizational skills
  • Willingness to work early mornings evenings and weekends as needed
  • Ability to manage multiple projects simultaneously and adapt to changing priorities
  • Collaborative flexible and self-motivated
Preferred:
  • Experience using Raisers Edge or similar software for event functions including creating registration forms tracking attendance and recording relationships

Compensation and Benefits
The appointment will begin July 1 and is a full-time salary non-exempt position with full benefits. The compensation package will be very competitive nationally and commensurate with experience degree attainment and the national independent school and college markets.
