Job Description

Job Duties

Primary Job Responsibilities
Collaborates with Practice Managers providers Informatics and Patient Access departments on maintaining and upgrading the computerized scheduling system.
Oversees appointment scheduling including participating in scheduler training and evaluation to ensure the most efficient matching of physician/clinician availability and patient preferences for time and date.
Assist patients with telehealth access providing technical support and pre-visit instructions.
Works with clinical services manager and physicians/clinicians to ensure scheduling procedures are meeting needs.
Acts as resource for appointment schedulers when they encounter patient issues such as customer complaints or physician dissatisfaction with appointments.
Collaborates with Medical Assistants Registration and Front desk staff to reconcile productivity daily.
Updates EHR schedule with approved provider vacation PTO meetings and other schedule changes within 48 hours of approval.
Produces reports on appointment patterns (N/S TNAA etc) trends complaints and outcomes and analyzes results. Makes recommendations about improvement opportunities.
Performs other duties as assigned.


Education

High school diploma or GED; associates degree preferred.

Experience: Minimum three to five years of scheduling experience with one year of experience in an ambulatory care setting preferably in a primary and multi-specialty care setting

Other Requirements

Performs other duties as assigned to support the overall objectives of the department and organization.


Performance Requirements

Knowledge
Knowledge of medical practice protocols related to appointment scheduling.
Knowledge of medical terminology for interpreting physician instructions service requirements and patient needs.
Knowledge of confidentiality requirements related to patient information.


Skills
Skill in training new appointment schedulers about medical practice scheduling system.
Skill in creating and managing provider appointment scheduling templates
Skill in evaluating scheduler performance and correcting performance deviations.
Skill in serving as resource to schedulers and providers with questions or issues and about the computerized system.


Abilities
Ability to communicate instructions clearly.
Ability to receive instruction and act on it timely and efficiently
Ability to collaborate with all levels of clinicians and staff to meet needs.
Ability to analyze data reports and make recommendations for improvement.
Ability to competently use Microsoft Office including Word PowerPoint Excel and appropriate practice management software.

Salary commensurate with experience within posted range.

JOB SETTING/PHYSICAL DEMANDS
Office setting. Business casual dress code.
Equipment Operated: Standard office equipment with emphasis on telephone and computer hardware/software. Mainly sedentary with some reaching stooping bending stretching crouching kneeling. Infrequent contact with patients.
