Job Description

JOB GOAL:

To advance The Kirkwood Community College Center for Hospitality Excellences vision to lead the world in educating and preparing the finest hospitality professionals that will impact the global community. GENERAL JOB SUMMARY:

Under limited supervision performs small group sales involving space and guest rooms. This position assists staff and faculty in daily tasks and practices independent judgment problem-solving and decision-making skills. Strong organizational communication and computer skills are required. This position will adhere to the College and Hotels policies and procedures and may require working evenings and other work hours as assigned to accommodate the Hotels hours of operations.

DUTIES/RESPONSIBILITIES:

  • Check and send or charge event billing to customers.
  • Track wedding pace.
  • Assist with call screening client follow up and assigning business to sales managers from calls cvent idss and all other lead sources.
  • Successfully complete one stop sales administration for small catering only and group events with selling servicing and executing the contract agreement.
  • Input sales meeting information into Delphi to create contracts.
  • Send out weekly banquet/catering and billing reports.
  • Issue control and manage gift certificates.
  • Generate BEOs after client meetings.
  • Prepare resumes and the amenity form for weekly meetings.
  • Adjust the reader board as needed.

  • Be able and willing to represent the College and Hotel in the most positive manner with prospective former and current students clients suppliers and the community we serve.
  • Must enjoy working with other people and the public and exhibit skill in working accurately with complex details.
  • Produce written documents in the English language with clearly organized thoughts using proper sentence construction punctuation and grammar.
  • Review or check the work products of others to ensure conformance to standards.
  • Make basic arithmetic calculations (addition subtraction multiplication division) rapidly and accurately either manually or by using a calculator.
  • Work cooperatively with other personnel clients and the public.
  • Work safely without presenting a direct threat to self or others.
  • Must be a positive individual and possess excellent customer services skills.
  • Be able to handle confidential information in a professional manner.

PHYSICAL ACTIVITIES WITH/WITHOUT REASONABLE ACCOMMODATION:

Position involves working in an office setting. Occasional (10-33%) standing pushing pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work. Constant (67-100%) sitting walking repetitive motion talking and hearing.

WORKING CONDITIONS:

  • Work Setting: The employee works in an open-plan office environment shared with multiple colleagues. Workstations are arranged in rows with limited physical barriers allowing visibility and easy communication between coworkers.

  • Noise Level: The noise level is moderate to high. Due to multiple employees being on phone calls simultaneously there is a constant background of voices ringing phones and office activity. Headsets are typically provided to minimize disruption.

  • Interaction: Frequent verbal interaction with clients co-workers or guests is required. Employees must maintain professional tone and focus even in a distracting or loud environment.

  • Work Hours: Standard business hours (e.g. 7:30 AM 4:30 PM) with occasional adjustments for business demands. Occasional but limited overtime is permitted.

  • Technology: Computers dual monitors headsets CRM or call-tracking software and VoIP systems are standard tools.

  • Challenges: Requires strong concentration time management and the ability to handle multiple tasks despite potential auditory distractions.



MINIMUM QUALIFICATIONS:

  • High school diploma or the equivalent required.
PREFERREDQUALIFICATIONSLICENSES CERTIFICATIONS OR REGISTRATIONS:
  • Preference will be given to those candidates with a post high school degree.
  • Preference will be given to those candidates with a minimum of two years full-time experience in a related hospitality setting or the equivalent education and related work experience.
