Job Description

Carlow University is currently accepting applications for anExecutive Assistantposition.This position provides primary administrative support to the Vice President of Student Affairs. Additionally this position provides administrative support to the various offices in the Division of Student Affairs and to the Special Assistant to the President for Mercy Heritage. The successful candidate will be devoted to collaboratively working with students faculty and staff to provide support to programming project development and services that enhance the student experience. Student Affairs works to enhance the overall educational experience of undergraduate and graduate students at Carlow University.
Administrative Responsibilities:
  • Coordinates Student Affairs Office management and customer service support to those who call walk-in or email. Provides hiring training and supervision to student work study personnel who support direct office functions.
  • Provides direct administrative preparation assistance for presentations office information dissemination report writing and correspondence.
  • Serves as the primary administrative liaison supporting a designated Board of Trustees sub-committee. Direction will be facilitated by the University Primary Liaison.
  • Manages confidential information including but not limited to student files complex active financial accounts and communication of sensitive information on behalf of the supervisor.
  • Provides front-line access to office for students faculty and staff and refer students to appropriate services/offices.
  • Serves as the Single Point of Contact (SPOC) to the Marketing and Communications team for student affairs residence life student activities career development Mercy heritage and Student Engagement.
  • Organizes coordinates plans and conducts departmental events by securing space equipment food preparing invitations announcements agenda brochures and packets purchasing awards reservations and overseeing the event as it occurs.
  • Oversees annual editing and publication of the Student Handbook.
  • Assists the Student Affairs division with complex processes associated with work specific to the department such as independently managing processes involving vendors and complex financial transactions and independently administering University processes or departmental services requiring the use of discretion and independent judgment.
  • Serves as the communication hub for the Division by coordinating information from the supervisor to others collecting and organizing information requested by the supervisor from others making information available to others by mail email telephone and online and providing more complex information on processes specific to the department to faculty staff students and other departments.
  • Assists with employment processes by monitoring and maintaining credential files of applicants preparing master files for search committees and assisting HR with the processes associated with the new employee orientation.
  • Manages daily tracking and fiscal management of Division of Student Affairs budgets documentation and processing requirements.
  • Oversees the editing and update of the student portal and the faculty/staff portal and the University website.
  • Serves as the liaison between the Student Affairs Division and the Marketing and Communications department for University and departmental projects
  • Directs the activities of 1-5 work-study students.
Project Coordinator Responsibilities:
  • Provides direct support to offices coordinating Summer Orientation Welcome Week Commencement and other identified University celebrations.
  • Provides direct student contact regarding health and well-being meeting scheduling and tracking.
  • Coordinates Division-wide data collection file organization and storage.
Minimum Education and Experience Required:
  • Demonstrated administrative training and experience in administrative support required.
  • Bachelors degree preferred in education business management or related field.
