Job Description

We are seeking a reliable and detail-oriented Process Coordinator to join our team. This role involves various clerical duties including managing shipping and routing processes ensuring timely communication with carriers and performing tasks using Microsoft Office programs such as Word Excel and more. Experience with scanning and routing software is preferred but not required. The ideal candidate must be able to work standard business hours some Saturdays and overtime as needed in a fast-paced environment.

  • Clerical Duties: Perform general administrative tasks such as filing organizing documents maintaining records and assisting with office operations related to shipping and receiving
  • Copying and Scanning: Use office equipment to copy and scan important documents related to shipping and billing for accurate record-keeping
  • Data Entry: Input shipping and billing information into databases or systems (e.g. IBM Samsara and Paragon) ensure all records are updated correctly
  • Communication: Reply to Central routing team carrier inquiries and customer service requests in a professional and timely manner. Ensure all communications are clear accurate and documented
  • Office: Use Microsoft Excel to manage spreadsheets track shipments and generate reports. Utilize Microsoft Word for preparing documents and correspondence
  • Shipping Coordination: Assist in coordinating shipments routes and preparing necessary documentation such as packing lists shipping labels and bills of lading
  • Timeliness and Reliability: Maintain consistent and reliable attendance and be able to adapt to varying work hours including some Saturdays as required

Qualifications :

 

  • Education: Must have a High School Diploma or equivalent
  • Experience: Previous experience in a shipping and receiving environment performing clerical duties route building driver assignments and administrative duties
  • Technical Skills: Proficiency in Microsoft Word and Excel. Experience with IBM Paragon routing programs Flexipod and Samsara ELD systems is a plus
  • Communication: Strong verbal and written communication skills to correspond with carriers and internal teams and departments
  • Detail-Oriented: Ability to manage multiple tasks accurately and efficiently
  • Reliability: Must be dependable and able to meet deadlines while maintaining high levels of professionalism
  • Work Schedule: Must be available to work during normal business hours with flexibility to work some Saturdays and holidays as needed
  • Ability to sit or stand for extended periods
