Rhodes College is hiring an Associate Registrar. The Associate Registrar manages day-to-day operations in the Office of the Registrar. This position requires the ability to interpret college policies accurately update student records and offer general advising support to students faculty and staff. The Associate Registrar serves as the primary contact for graduating students navigating degree completion.
Job responsibilities include but may not be limited to:
Serves as the primary contact for graduating students and the degree conferral process. Collaborates with the Registrar to maintain the Graduation Application. Maintains and delivers upon request an accurate list of degree candidates. Ensures timely review of graduating students records each academic year providing regular and ongoing communication with students advisors and chairs. Notifies students and advisors regarding missing degree requirements and provides timely advising support regarding unfulfilled degree requirements. Facilitates approval process for major minor and certificate substitutions. Analyzes and updates individual student records as needed.
Assists students advisors and chairs in navigating Workday Academic Progress. Monitors and evaluates student academic progress from matriculation through graduation ensuring timely interventions accurate record-keeping and alignment with degree requirements. Collaborates with academic advisors and faculty to support student success and retention.
Collaborates with the Registrar on annual review of the College Catalogue. Documents changes to current courses/programs as well as new majors/minors/programs. Assists with updating the course descriptions in the interactive catalogue.
Provides timely creation maintenance and testing of updated academic program requirements in Workday.
Maintains classroom assignments using optimization tools from the classroom management system and Workday. Communicates with faculty regarding classroom needs special accommodations and optimization of classroom space. Demonstrates strong understanding of the course schedule faculty preferences and special needs.
Assists Registrar with planning and preparation for the commencement ceremony collaborating regularly with College Events. Provides a timely final review of candidate records. Supports preparation for graduation ceremony. Participates in graduation ceremony.
Provides ongoing support regarding study abroad coursework to students. Coordinates with the Buckman Center for Global Engagement regarding study abroad/away documentation and processes based on college policies. Acts as liaison between the Registrars Office Enrollment Services and the Buckman Center in processing transcripts and study abroad approval forms. Posts study abroad transfer credit and updates F11 practical learning activity related to study abroad/away in Workday.
Acts as liaison between Rhodes College Office of the Registrar and local Crosstown Consortium institutions. Maintains student records registration and grade entry for Crosstown students. Communicates with Crosstown students and consortium schools concerning missing documentation registration and grade submission.
Provides an initial evaluation of coursework to accepted transfer students. Updates Workday with transfer credit awards for deposited transfer incoming first year and matriculated students.
Assists Registrar with review of Petitions for Variance from Academic Regulations. Reviews petitions to confirm that students meet criteria and that the Standards and Standing Committee has the required information for a decision on each petition.
Maintains current and up-to-date knowledge regarding Workday and other technologies. Assists with technological functionality configuration testing and validating data. Identifies and addresses technological issues and provides possible resolutions.
Assists with building the course schedule and with resolving registration issues each semester or term. Answers student and faculty registration questions.
Maintains accurate student records; updates student records related to approved grade changes. Updates student records to reflect non-credit bearing activities academic achievement academic standing and semester honors.
Performs other duties as assigned.
Job Qualifications:
Bachelors degree required Masters degree preferred.
Minimum of five (5) years of higher education experience required; previous experience in a Registrars Office preferred.
Proficiency with Microsoft Office is required; proficiency with database maintenance and reporting is preferred; experience with Workday Student and 25Live academic scheduling is preferred.
Working knowledge of college academic policies and processes.
Ability to work effectively and maintain confidentiality with students and their families faculty staff and alumni.
Must exhibit professionalism in working effectively with diverse constituencies.
Demonstrate ability to organize numerous projects requiring attention to detail and consistently meet deadlines.
Strong organization and technology skills required.
Excellent written and oral communication skills required.
Physical Demands:
General office environment that requires sitting on a constant basis. The candidate will perform computer work keyboard use and telecommunications on a frequent basis. Manual dexterity will be required to perform keyboard and writing activities on a frequent basis. Visual acuity is required on a frequent basis to read and review print and electronic documents. Reaching and pushing/pulling with a force of up to 10lbs will be performed on a rare basis. Mobility of the candidate will be sufficient to allow moving about the office and to and from the building on an occasional basis. The physical demands must be met to successfully perform the essential functions of this job.
