Position Details

  • Employment Type: Full-time Contract (until March 31 2027)
  • Reports to: Director Activation

  • Salary: $65000-$80000
  • Anticipated Start Date: July 14 2025
  • Anticipated End Date: March 31 2027

  • Work Environment: CivicActions work is a hybrid workplace that combines both in-office and remote work. CivicActions physical offices are in downtown Toronto and technology will be provided to support both in-office and remote work. This position may involve some evening and weekend work.

Position Purpose

The Program Manager BoardShift will play a vital role through the delivery of critical projects and programming related to CivicActions BoardShift program. BoardShift is a program that prepares talented Indigenous Black and racialized candidates for governance positions in the not-for-profit charitable and public sector. It includes the BoardShift Governance Curriculum a set of three online asynchronous courses tailor-made to help candidates be ready to sit on nonprofit charitable and public sector boards and contribute to the governance process with confidence. BoardShift is a critical CivicAction program that aims to bridge the diversity gap in leadership tables and help usher in the next generation of diverse GTHA leaders who will make our cities and region more livable and prosperous for everyone.

Reporting to the Director Activation the Program Manager will work to optimize and revitalize BoardShift products enhancing learner experience improving operations supporting new national partnerships and successfully delivering planned funder commitments. This includes a) delivering UX projects aimed at refining the BoardShift experience b) providing key audiences with access to the BoardShift Governance Curriculum and c) delivering online programming experiences to select audiences in support of networking and mentorship.

Key Accountabilities:

  • Program Design and Delivery: Lead and manage the successful delivery of program elements and planned activities ensuring a positive experience for all participants during their engagement in BoardShift products; includes working to improve understanding of BoardShift program offerings among key audiences; improving curriculum access to key audiences; designing and delivering initiatives to provide mentorship and networking opportunities; and working closely with cross-functional teams to ensure the programs successful delivery
  • Project Management: Lead and execute technology projects required as a part of the overall program strategy to refine and streamline the BoardShift experience; includes project planning managing deadlines and deliverables ensuring timely delivery of activities and inputs from cross-functional internal teams and external vendors; and leading project delivery meetings
  • Vendor Management: Manage vendor relationships to ensure the timely and effective delivery of key services for program success; leads key processes including shaping required products/services in partnership with technology vendors setting expectations for the delivery and ensuring successful integration of the services for optimal participant experience
  • Stakeholder Relationship Management: Cultivate and maintain meaningful relationships with existing network of partners and key stakeholders (including funders) to support the successful delivery of program commitments
  • Information Management and Systems Administration: Provide oversight to systems and software supporting the BoardShift platform and the BoardShift Governance Curriculum; implement policies and best practices to ensure operational efficiency and improve the quality of records data documentation and reporting
  • Financial Management & Impact Evaluation: Provide financial management by overseeing program budget and expenses working closely with Operations and Finance teams to effectively report to funders; track key performance indicators and report internally on program progress.


Qualifications and Skills

Required Education Certification and Experience:

  • Relevant college/university degree and a minimum of 5 years of relevant experience including experience at a managerial level involving project management and program management
  • Proven success in project management including designing and implementing project plans and managing progress across cross-functional teams
  • Demonstrated experience managing technology projects and programs such as web or application development UX design and demonstrated experience working with external development teams
  • Demonstrated experience in systems administration including managing technology stacks and software such as SCORM Cloud HubSpot Mixpanel Stripe and Heroku
  • Experience working closely with key stakeholders and managing stakeholder interests with a high level of judgement professionalism and diplomacy
  • Proven success managing relationships with key vendors towards the delivery of required services for program success
  • Experience in monitoring evaluating and reporting on program impact and developing strategies for improvement
  • Experience with program delivery funded by federal grant programs considered an asset
  • Experience in curriculum design and implementation geared towards online learning considered an asset

  • Strong verbal and written communication skills
  • Strong technical abilities and a capacity for supporting others through understanding technology projects
  • Interest or familiarity with civic and community issues in the Greater Toronto and Hamilton Area (GTHA) is an asset
  • Strong relationship management skills to engage with partners participants and stakeholders
  • Deep commitment to equity diversity and inclusion including implementing anti-oppression programming
  • Effective communication skills including facilitation verbal and written communication and presenting messages in creative inclusive ways
  • Commitment to continuous learning curiosity and adaptability
  • Strong sense of diplomacy
  • Experience with platforms such as SCORM Cloud considered an asset
