Job Description

We are looking for a highly organized proactive and detail-driven Operations Coordinator (Freight & Logistics) to virtually manage end-to-end shipment operations across ocean air and domestic transport. In this role you will oversee freight forwarding processes from booking through delivery ensuring accuracy timeliness and exceptional service. You ll communicate directly with carriers clients agents and brokers handling documentation managing exceptions and maintaining fluid logistics operations.
  • Manage shipments end-to-end from booking at origins to delivery for ocean air and domestic shipments
  • Communicate all expectations to carriers paying extra attention to special requirements assuring the carrier can meet all requirements.
  • Proactively manage daily freight forwarding activities of the company to include all sea air road operations import/export process and warehousing.
  • Handling operations daily follow up with Carrier/Agents for shipments arrival date.
  • Follow up shipping instructions and coordinate shipments with Customers.
  • Complete knowledge of documentation processes custom clearance E-Mersil.
  • Prepare shipping instructions and coordinate shipments with shipping lines.
  • Send arrival notice to customers.
  • Follow up with clients
  • Responsible for the accuracy of invoices bills of lading shipping statements and the achievement of KPIs
  • Dealing with shippers/consignees requirements
  • Dealing with truckers and customs clearance brokers
  • Dealing with agents worldwide
  • Explore new fields of business
  • Handling invoices with clients and accounting department
  • Maintaining good relations with shipping lines
  • Develops people to their highest potential through necessary training and performance management
  • Responsible for ensuring cross training for all positions is complete and documented
  • Maintaining customers focus on all times and answers to customers inquiries using the standards guidelines
  • Taking ownership of complaints and queries and proactively following through to resolution
  • Perform various customer service activities including upselling
  • Have the ability to handle issues with any partner in this business (shipping line cargo owners brokers and involved authority).
  • Able to find new clients and have the skills to communicate with them.


Requirements

  • Proven experience in logistics or freight forwarding (minimum 3 years preferred).
  • Complete knowledge of ocean air and road shipment procedures including documentation and customs clearance.
  • Familiarity with tools like E-Mersil and a strong understanding of Incoterms shipping schedules and regulatory processes.
  • Ability to manage multiple international shipments at once and follow through from origin booking to final delivery.
  • Strong communication skills to coordinate with shipping lines clients customs brokers and global agents.
  • Analytical thinking and attention to detail when preparing invoices documents and tracking KPIs.
  • Proactive problem-solver who takes ownership of issues and follows through to resolution.
  • Sales-savvy mindset able to explore new business fields upsell services and build strong client relationships.
  • Strong organizational skills customer service orientation and a positive self-motivated attitude.
  • Ability to manage complaints diplomatically and provide high-quality service under pressure.
