Job Description Summary
The Housing Operations Coordinator ( HOC ) supports all aspects of Housing Operations including assignments billing and maintains databases related to housing processes. The HOC coordinates with graduate admissions to provide housing resources for graduate students and assists with graduate placements. Additionally the HOC supports major RLFYE administrative operations by assisting with various departmental operational processes related to assignments billing check-in and check outs and transitions. The HOC will be responsible in maintaining historical data and records handling sensitive information and providing date for applicable reports. Please note: This position is an in person position based in Orange CA. Works Schedule: Monday-Friday 8:00am-5:00pm.

Responsibilities
Housing Operations Support Assist with all aspects of Housing Operations including assignments billing license releases assignment changes temporary housing relocations and housing related emails. Partner with Admissions to clean housing database systems of possible cancellations or deferrals (melt list management). Support Housing Operations Manager in the collection of Housing Disability Accommodation data and maintenance of database. Assist with the logistics of housing transitions from semester to semester. Collaborate with Facilities Management Campus Safety and vendors to resolve maintenance concerns in residential buildings. Monitor housing software (StarRez) to ensure accurate occupancy and assignment data. Partner with Residence Life staff for complex housing/roommate related issues Graduate Housing Support Manage Communication assignment and lease processes for graduate student housing. Collaborate with graduate admissions programs to help graduate students find housing. Serve as primary point of contact for graduate residents for housing related needs. Coordinate waitlists billing changes and contract adjustments for graduate housing placements. Maintain graduate housing interest database. Assist with graduate housing move-in/move-out logistics room turnover and communication materials. Other Administrative Duties Assist with student and professional staff selection processes. Support RLFYE front desk operations. Assist in managing the housing email inbox routing questions and responding to routine inquiries. Prepare reports correspondence and documentation for operational processes. Support annual housing selection process housing exemption requests and special accommodation workflows. Serve on division or University committees as appropriate. Participate in appropriate departmental and campus meetings. Other duties as assigned.

Required Qualifications
Bachelors degree preferred Residence Life student life or other student affairs experience strong preferred Experience with PeopleSoft and/or Starrez database systems Knowledge of Chapman University policies and procedures Bookkeeping and office management experience preferred Ability to exercise initiative and work independently Effective written and oral communication skills Ability to track collect and synthesize data in spreadsheets and report formats Ability to use tact and diplomacy and to maintain a high level of confidentiality Ability to effectively use software systems and adapt to new technology as needed Ability to present and lead training for students and professional staff Strong editing and proofreading skill Strong commitment to teamwork and student support
