With a growing team of 23 dedicated professionals were seeking a highly organized and detail-oriented Office Manager to keep our operations efficient and support our leadership team.
Position Overview
The Office Manager is a key member of our administrative team who ensures the smooth day-to-day functioning of the office while supporting the C-suite and project teams. This role requires a strong multitasker who is detail-driven responsive and comfortable working across a variety of functions including HR finance contracts and team coordination.
Key Responsibilities
Office & Administrative Management
Oversee day-to-day office operations including facility management supplies IT/vendor coordination and office equipment.
Maintain organized systems for both digital and physical files.
Coordinate internal meetings manage calendars and track action items.
Lead onboarding logistics for new hires including workspace setup and welcome documentation.
Financial Administration
Manage Accounts Payable and Accounts Receivable processes with accuracy and timeliness.
Handle payroll processing in coordination with external partners or software systems.
Assist with basic bookkeeping tasks purchase orders and vendor payment tracking.
Support project managers with budgeting data and financial reporting when needed.
Contract & Proposal Support
Assist in preparing editing and formatting contract proposals and presentations.
Track proposal deadlines and submission requirements.
Support principals in maintaining organized and up-to-date project files.
Human Resources
Administer HR records PTO tracking benefits coordination and compliance documentation.
Maintain updated employee information and assist in policy implementation.
Support employee engagement initiatives office events and culture-building activities.
Executive & C-Suite Support
Report directly to the C-suite providing operational updates and administrative support.
Assist executives with meeting preparation document review and special projects.
Ensure high-level confidentiality discretion and professionalism at all times.
Key Traits & Requirements
3 years of office management or administrative experience (AEC industry preferred).
Strong experience in AR/AP payroll HR and contract administration.
Proficient in Microsoft Office Google Workspace and accounting tools (QuickBooks or similar preferred).
Excellent verbal and written communication skills.
Demonstrates attention to detail sense of urgency and the ability to fluidly multitask.
Self-starter with a proactive and professional approach.
