Job Description

Based at our bulk fuel storage facility in Newport Victoria as the primary liaison you will act as the main point of contact between external stakeholders (such as property developers and utility companies) and internal teams (including Legal and Operations) ensuring efficient and clear communication.

You will facilitate and guide external parties through Vivas approval processes even when facing evolving project needs or challenges.  Other tasks comprise stakeholder liaison for future maintenance works and includes:

  • Process Management: Track and manage multiple approval requests ensuring timely reviews and responses while maintaining detailed and organized records of all approvals and project statuses.
  • Collaboration: Work closely with internal teams to support well-informed decision-making ensuring projects align with company policies regulations and safety standards.
  • Expectation Management: Effectively manage stakeholder expectations balancing regulatory requirements with project needs while fostering positive relationships.
  • Documentation: Maintain accurate records and approval documentation that are easily accessible for audits and review purposes.

Qualifications :

About you

  • To be successful you may have a background in property management town planning or come from a major utility or infrastructure company (telco gas electricity distribution roads rail etc.).
  • Can demonstrate your ability to manage multiple priorities effectively and maintain detailed records.
  • Possess excellent verbal and written communication skills with the ability to explain Viva requirements professionally and clearly.
  • Are experienced working with external stakeholders including handling complex or challenging interactions.
  • Hold a process-oriented mindset and can demonstrate your ability to efficiently run and control work processes to ensure smooth project approvals.
  • Able to engage with stakeholders across different locations.
  • Hold an understanding of regulatory frameworks legal requirements or technical standards (preferred but not essential).
  • Hold experience in compliance approvals or coordination roles with an exposure to facilities management or construction would be advantageous.
  • Able to work with a high degree of autonomy and effectively prioritise your time in a dynamic work environment.
