PURPOSE AND SCOPE
Under the supervision of the Principal and Assistant Principal of Curriculum and Instruction the Registrar/Substitute Coordinator position entails responsible and comprehensive work in maintaining accurate student records registering and withdrawing students according to procedures at the high school reporting and distributing student assessment reports and assisting in distributing awards and honors. The Substitute Coordinator for a high school plays a crucial role in ensuring the smooth functioning of daily operations by managing the substitute teacher program. This position involves coordinating substitute teacher assignments maintaining communication with staff and substitutes and handling administrative tasks related to substitute placement and tracking.

General
- Strives to achieve the goals of Catholic education
- Establishes positive school-community relationships
Student Records
- Obtains and maintains a variety of student records both physical and computerized such as grades transcripts immunization records cumulative folders and all general student data
- Responsible for entering and maintaining student records in PowerSchool and assigning student numbers
- Processes student enrollment transfers and withdrawals for the campus including requesting transcripts and records from other schools
- Communicates registration withdrawal and transfer information to relevant parties including guidance counselors Director of Technology and other administrators
- Communicates with other schools or outside agencies regarding student records
- Maintains current class lists and grade lists for enrollment verification
Student Assessment Reports
- Prepares records and reports student grades; verifies the accuracy of grades and processes grade change requests
- Prepares and distributes eligibility lists honor roll lists etc.
- Coordinates the ordering and distribution of graduation records and materials
- Prints report cards rosters and materials for Parent-Teacher Night
Awards and Honors
- Assists administration in coordination of student recognition and related duties including storing and printing honor roll and honor roll certificates and creating and printing certificates for other awards ceremonies
- Creates coordinates and prints programs for award ceremonies baccalaureate mass and graduation ceremonies.
- Orders commencement awards and diplomas
Substitute Coordinator
- Maintain a pool of qualified substitute teachers for various subjects and grade levels.
- Coordinate substitute teacher placements based on teacher absences ensuring appropriate subject expertise.
- Manage the substitute teacher scheduling system ensuring adequate coverage for all classes.
- Notify teachers of substitute assignments and provide necessary information about the daily schedule lesson plans and other relevant details.
- Conduct orientation sessions for new substitute teachers providing information on school policies emergency procedures and classroom expectations.
- Maintain accurate and up-to-date records of substitute teacher assignments attendance and feedback.
- Address and resolve any issues or concerns raised by substitute teachers or regular staff members in a timely and effective manner.
- Provide substitutes with clear instructions and resources in case of unexpected events or emergencies.
- Depending upon need may substitute for 1-3 periods during the day.
KNOWLEDGE SKILLS AND ABILITIES REQUIRED
- Must demonstrate personal self-discipline be adaptable and flexible in routine and unexpected situations
- Must use good judgment in daily encounters
- Must be proficient in the use of Microsoft Office and other school databases preferably PowerSchool
- Must use verbal and written language correctly
- Must demonstrate an appropriate sense of humor
- Must maintain appropriate grooming and dress at all times as stated in the faculty handbook
MINIMUM QUALIFICATION
- Preference given to a Catholic
- Must meet Ministry Formation Certification and/or work towards certification or re-certification as required by Diocesan policy
- Must be willing to make a public Profession of Faith if Catholic; and if non-Catholic must be willing to support Catholic teachings and philosophy
- Must hold a Bachelors Degree
- Must be certified as a Substitute by the Arizona State Department of Education
- Must receive Safe Environment Training
- Must sign the diocesan Code of Conduct
- FBI Fingerprint clearance completed
