Job Description

Position Type: Full time

Compensation: $18.00 - $22.00 per hour

Location: Woodinville WA

Schedule: Monday - Friday 7:00am - 4:00pm *Schedules may change based on business needs. May include holidays and alternate workdays or hours as needed. Training may take place on a different schedule.

The Operations Support Specialist supports the business by performing necessary administrative tasks for our Operations Department. Our team of Operations Support Specialists make it possible for Furnishings Cleaning Services and Corporate Housing to perform their daily activities. Operations Support Specialists are cross trained on all job functions with a primary focus in Leasing Access Support and/or Dispatching.

About the job:

What youll be doing:

Leasing:

  • Building and maintaining great relationships with apartment communities
  • Scheduling furniture/housewares services and utilities for new units
  • Monitoring internal emails and responding to inquiries in a professional and timely manner
  • Managing parking for properties with external garages management contracted buildings and leased units
  • Sending bi-weekly guest list and directory box updates to properties and keeping property contact parking pet information etc. information current
  • Creating and signing leases
  • Performing walk-through inspections
  • Attaining all pertinent information needed for unit and community and confirming accuracy of map directions
  • Coordinating maintenance requests with property
  • Additional duties as assigned

Access Support:

  • Managing the inventory of physical keys and access items for apartment units
  • Creating key packets for guests
  • Printing task schedules and pulling keys/access items for field staff
  • Monitoring internal emails and responding to inquiries in a professional and timely manner
  • Maintaining inventory of envelopes and other necessary supplies
  • Communicating to internal teams when guest keys are not returned and coordinating lock changes as appropriate
  • Researching missing items/discrepancies after guest check-out
  • Additional duties as assigned

Dispatching:

  • Acting as a liaison between office and field staff
  • Scheduling in-field tasks and keeping the in-field schedules organized and efficient
  • Processing incoming field task completion forms
  • Communicating information cross-departmentally as needed
  • Coordinating solutions to problems that arise and ensuring units are rental-ready for guest check-in
  • Monitoring internal emails and responding to inquiries in a timely manner
  • Additional duties as assigned

Supervisory Responsibilities

  • This position does not have any supervisory responsibilities.
  • May provide cross-training to staff.

About you:

What youll bring:

  • High School Diploma or GED or equivalent experience
  • Hospitality experience preferred.

  • Skilled in the use of all technology such as Oscar CRM and any other programs or technology currently in use or as it becomes available.
  • Ensure all client communication is well written and professional at all times.
  • Contribute as a team player in support of company department and individual goals.

Work Environment

Usual office working conditions. This position will have a desk space with a computer and a phone. The noise level in the work environment is typical of most office environments with telephones personal interruptions and background noises.

Physical Demands

While performing the duties of this job the employee is regularly required to sit talk and hear. The employee is frequently required to use their hands. The employee must have the ability to use a computer keyboard and mouse and the ability to dial answer and talk on a telephone. The employee is occasionally required to walk and reach with hands and arms. Specific vision abilities required by this job include close vision. This job requires the ability to occasionally work in stressful conditions and remain focused for extended periods of time. Ability to lift up to 30 pounds; boxes documents and/or other items.
